Summary
InterDigital is seeking an experienced Executive Assistant to provide high-level, strategic administrative support to our Chief People Officer (CPO) and, at times, other members of the HR Leadership Team. Reporting directly to the CPO, this role serves as a trusted partner who anticipates needs, manages complex priorities, and enables the CPO to operate effectively in a fast-paced, global environment. The ideal candidate brings 8+ years of senior-level executive support experience, exceptional judgment and discretion, strong communication and organizational skills, and a high degree of technology fluency. Experience supporting a Human Resources or People function, and an interest in employee communications, HR marketing, or technology tools are strongly preferred.
Essential Duties and Responsibilities:
Provides advanced, diversified, and highly confidential executive support to the Chief People Officer and the Human Resources function.
Manages a complex and frequently changing executive calendar, including prioritizing meetings, resolving scheduling conflicts, coordinating across time zones, and ensuring the CPO is fully prepared for key meetings and commitments.
Coordinates domestic and international travel from end to end, including itineraries, transportation, accommodations, visa or travel documentation as needed, and last-minute changes; prepares and reconciles expense reports accurately and on a timely basis.
Exercises a high degree of independent judgment and discretion, anticipating needs, identifying priorities, and making sound decisions on behalf of the CPO within established parameters.
Handles sensitive and confidential matters with the utmost professionalism, discretion, and sound judgment.
Develops, edits, and formats executive-level PowerPoint presentations, business updates, meeting materials, talking points, agendas, and other written communications; synthesizes information into clear, polished, audience-appropriate materials.
Supports HR marketing, employee communications, and social media activities in partnership with HR and Marketing/Communications, including drafting or coordinating content, organizing campaign materials, and helping maintain a consistent HR/employer brand presence.
Processes benefits invoices, including collecting and reviewing invoices and supporting documentation, maintaining organized records, submitting invoices through Esker, and coordinating appropriate coding and approvals. Supports a high-volume process covering approximately 35 benefits vendors and 60 invoices per month while ensuring accuracy, timely processing, and adherence to established AP controls and procedures.
Uses technology and digital tools to improve efficiency and executive productivity, including Microsoft 365 applications, collaboration platforms, AI-enabled productivity tools, and other business systems; quickly learns and adopts new technologies.
Coordinates HR Leadership Team meetings, offsites, employee events, and other key meetings, including logistics, agendas, presentation materials, meeting preparation, and follow-up actions as needed.
Works closely with other executive assistants and administrative professionals across the organization to coordinate leadership meetings, events, and cross-functional activities.
Leads and coordinates special projects that require strong organization, communication, follow-through, and cross-functional partnership with stakeholders throughout the company.
Prepares correspondence, reports, spreadsheets, presentations, and other materials; maintains appropriate records and organized digital files.
Serves as a professional and responsive point of contact for internal and external stakeholders, exercising judgment in managing communications, requests, and access to the CPO.
Performs ad-hoc requests including scheduling personal appointments for the CPO and other duties as needed.
Qualifications:
Bachelor's degree or equivalent combination of education and relevant professional experience is strongly preferred.
8+ years of progressive executive assistant or senior administrative experience, including direct support of a C-suite or senior executive, is required.
Demonstrated experience managing complex executive calendars, domestic and international travel, and expense reporting in a fast-paced environment.
Advanced proficiency in Microsoft Outlook, PowerPoint, Word, Excel, and Teams; strong PowerPoint skills and demonstrated ability to create polished executive presentations and meeting materials are required.
Strong technology aptitude and comfort learning and using new digital tools and business applications; experience with AI-enabled productivity tools is a plus.
Experience with one or more of the following is preferred: Concur, SharePoint, Dynamics 365, Adobe Acrobat, Workday, or similar enterprise systems.
Experience supporting Human Resources, Information Systems, Communications or another corporate function is strongly preferred.
Experience supporting employee communications, HR marketing, or social media content is a plus.
Exceptional organizational skills, attention to detail, and ability to manage multiple priorities, deadlines, and shifting demands with a high level of accuracy.
Strong written and verbal communication skills, including the ability to interact confidently and professionally with executives, employees, vendors, and other stakeholders.
Demonstrated sound judgment, discretion, initiative, and ability to handle highly sensitive and confidential information.
Strong business acumen and ability to anticipate needs, identify issues, recommend solutions, and act with appropriate urgency.
Comfort operating in a global, cross-functional environment and working effectively with colleagues from diverse backgrounds and cultures.
