This role plays a critical part in ensuring timely invoicing, collections, accounts receivable and accounts payable management, and accurate financial reporting. The ideal candidate is detail-oriented, organized, and experienced in billing systems and general accounting principles.\nKey Responsibilities:\nBilling Operations\nGenerate, review, and distribute accurate invoices to clients and customers in a timely manner.\nMonitor accounts receivable aging reports and follow up on outstanding balances.\nProcess payments, credits, and adjustments; reconcile billing discrepancies.\nMaintain billing records and ensure all transactions are documented in the accounting system.\nCommunicate with clients and internal teams to resolve billing inquiries and disputes.\nAccounting & Recordkeeping\nDistribute accounting transaction downloads from QuickBooks Online\nReconcile bank statements, credit card accounts, and balance sheet accounts.\nProcess accounts payable invoices and ensure timely vendor payments.\nManage AR collections and aging reports.\nMaintain organized and audit-ready financial documentation in accordance with company policy.\nReview Statements of work and project setup to ensure accuracy.\nMaintain reconciliation of all Microsoft funding on client accounts.\nCompliance & Reporting\nEnsure billing and accounting activities comply with applicable regulations and internal controls.\nSupport internal and external audits by providing documentation and explanations as needed.\nAssist with sales tax, use tax, and other regulatory filing reconciliations through Avalara.\nIdentify process improvements to enhance efficiency in billing and accounting workflows.\nRequirements\nRequired\n3+ years of experience in billing, accounts receivable, accounts payable, or general accounting.\nProficiency in accounting software (e.g., QuickBooks, NetSuite, Sage, or similar).\nStrong attention to detail and high degree of accuracy in data entry and financial calculations.\nSolid understanding of basic accounting. \nProficiency in Microsoft Excel and other Microsoft Office applications.\nEffective written and verbal communication skills\nPreferred\nExperience with ERP systems and automated billing platforms.\nKnowledge of revenue recognition standards and financial reporting requirements.\nExposure to healthcare, legal, or professional services billing is a plus.\nCore Competencies\nAccuracy & Attention to Detail - Consistently produces error-free financial work.\nOrganizational Skills - Manages multiple deadlines and priorities effectively.\nProblem Solving - Investigates and resolves billing discrepancies quickly and professionally.\nCommunication - Clearly conveys financial information to client's executive team.\nIntegrity - Maintains confidentiality and upholds ethical standards in all financial matters.\nAdaptability - Embraces system upgrades and process changes with a positive approach.\nWorking Conditions\nThis position is hybrid, depending on business needs. 1-2 days in the office processing checks. Days and times in the office are flexible. Standard working hours are Monday through Friday, 8:00 AM - 5:00 PM, with occasional flexibility required during month-end close periods or audit cycles.
