Our services include air and ocean freight forwarding, contract logistics, customs brokerage, distribution, inbound logistics, truckload brokerage and other supply chain management services, including consulting, the coordination of purchase orders and customized management services.\nThe purpose of this position is to execute the Document Processing/Billing Operations activities in Air/Ocean freight for import & export traffics.ESSENTIAL FUNCTIONS:\nTo process shipments with high accuracy by using proprietary forwarding applications, billing, ensuring operational excellence and high productivity in cooperation with the Customer Service staff.\nPrepare and issue invoices to customers and/or to overseas business units\nRetrieve rates from C1 and other systems needed to invoice\nJob cost accurately all files\nSend invoices + all backup documentation per customer requirements\nCommunicate with Customer Service group for any requirements and/or exceptions found in freight instructions/documents\nResolve any rate discrepancies by working with the business units to get updated rates into system\nSupport other billing departments as needed\nUnderstand and utilize internal billing reporting systems to identify priority bill to shipments\nDistribute documents and make copies in accordance with shipper's, JAS's and/or destination country requirements.\nGet approval for all credit notes and/or invoice reversals before issuance\nEnsure highest level of data quality by processing the shipment accurately.\nSpecial Projects as assigned\nOther duties as assigned by Supervisor or Manager.\nQUALIFICATIONS:\nExcellent communication skills\nAbility to work well as a team player\nAbility to work in fast paced environment\nAbility to effectively multi-task\nStrong interpersonal skills to effectively interact with both clients and vendors\nGood judgment skills and ability to make decisions\nOrganized and high level of attention to detail\nAnalytical and strong problem solving skills\nAble to work in a diverse environment and culture\nMinimum fluent in spoken and written English, second language a plus\nEDUCATION AND EXPERIENCE:\nStudent or Bachelor degree in Administration or Transport specialist.\nIntermediate level of knowledge in Microsoft Excel\nWorking knowledge of standard and accepted administrative and operations practices.\nYears of experience 1 in the same position.\nENVIRONMENT:\n100% performed in climate-controlled internal office environment working under normal office conditions.\nWhile performing the duties of this job, the employee is regularly required to sit; stand; walk; use hands and finger to feel and handle; reach with arms and hands; talk and hear.
