This role is responsible for coordinating the billing and invoicing process for the Customer Care Project department, supporting more than $40 million in annual project and service revenue.\nThe ideal candidate is someone who enjoys working with numbers, managing multiple priorities, and ensuring billing information is accurate, complete, and processed on time. This position works closely with Project Management, Sales, Customer Care, and our Shared Service Center (SSC) to coordinate invoices, payments, expenses, change orders, and other billing activities.\nIf you are comfortable working independently, have strong attention to detail, and enjoy working in a fast-paced environment where priorities can change, this could be a great opportunity for you.\nWhat You'll Do\nCollect and review weekly employee time sheets and expense information to support accurate customer billing.\nPost weekly labor and expense information and prepare billing worksheets.\nCoordinate manager approvals and submit invoice nominations to the Shared Service Center.\nWork closely with Project Management to establish invoice milestones and coordinate advance billing.\nEnter invoice-related transactions into the ERP system.\nMonitor advance payments and communicate payment issues or concerns to Sales and Project Management.\nCoordinate final billing activities and assist with project closeout procedures.\nProcess additional revenue billings, credit memos, and other billing adjustments.\nUpdate project orders and revenue information when change orders are received.\nProcess sales tax entries and customer billing requests.\nComplete credit/debit requests and other SSC forms as needed.\nReview billing information for accuracy, completeness, and compliance with established procedures.\nInvestigate discrepancies and use sound judgment to resolve billing issues.\nManage multiple projects and competing deadlines while maintaining a high level of accuracy.\nPerform other duties as assigned.\nWhat We're Looking For\nRequired Skills & Qualifications\n3-5 years of experience in billing, invoicing, accounting, project administration, or a related field preferred.\nExperience working with ERP systems and accounting processes preferred.\nFoodTech or manufacturing industry experience is a plus.\nAssociate degree or equivalent education/experience preferred.\nStrong Microsoft Office skills, particularly Excel, Word, Outlook, and PowerPoint.\nStrong organizational and time management skills.\nExcellent attention to detail and accuracy.\nAbility to analyze information, identify issues, and make sound decisions.\nAbility to work independently with minimal supervision.\nAbility to manage large amounts of data and multiple priorities while meeting tight deadlines.\nStrong written and verbal communication skills.\nAbility to understand and apply pricing, margin calculations, costing information, and billing procedures.\nAbility to interpret information from Sales, Project Management, and customers and determine the appropriate next steps.\nStrong interpersonal skills and the ability to work effectively with a variety of teams and departments.\nWhat Makes Someone Successful in This Role?\nWe're looking for someone who is:\nDetail-oriented: You catch discrepancies before they become billing problems.\nOrganized: You can keep track of multiple projects, deadlines, approvals, and billing requirements.\nSelf-directed: You can take ownership of your work and move projects forward without constant direction.\nAnalytical: You are comfortable working with numbers, data, pricing, and financial information.\nResourceful: You can make sense of incomplete or changing information and know when to ask questions.\nDeadline-driven: You can prioritize competing requests and keep billing activities moving.\nCollaborative: You enjoy working with Sales, Project Management, Customer Care, Finance, and other teams to solve problems.\nWork Environment\nThis is an office-based position in a fast-paced environment.
