JerseySTEM is also committed to bridging the gender gap in STEM education and sharing STEM-related opportunities with underprivileged students and communities.

About JerseySTEM

All JerseySTEM roles are pro-bono (unpaid) positions. JerseySTEM is a mission-driven professional network of pro-bono contributors dedicated to improving access to STEM education and career pathways for underserved middle school girls in New Jersey.

Members contribute their professional skills and leverage their networks in service of the organization’s gender-equity agenda.Membership is a minimum six-month commitment of approximately six flexible hours per week and includes a $100 refundable deposit, returned after six months of active membership. K-12 educators, retirees, veterans, interns, and students are exempt from the deposit.

Overview

This is a pro-bono Unpaid position.

JerseySTEM is looking for talented professionals across our departments to commit time and energy as long-term engagement for our mission to provide STEM education to underrepresented middle school girls.

The HR Onboarding Specialist will play a critical role in ensuring a welcoming and supportive onboarding experience for new volunteers and staff members. This position is ideal for someone passionate about making a difference in a nonprofit environment, providing a positive and seamless transition for new team members as they join the organization.

The HR Onboarding Specialist will coordinate onboarding activities, maintain volunteer records, and help integrate new hires and volunteers into the organization’s culture and mission.

Responsibilities

  • Onboarding Coordination:
    • Manage and coordinate the onboarding process for new volunteers and staff members, from acceptance to their start date.
    • Prepare and distribute onboarding materials, including welcome packets, organizational policies, and mission information.
    • Schedule and conduct onboarding sessions, including orientation and training on the organization's mission, values, and procedures.
  • Documentation and Compliance:
    • Collect and process all necessary documentation, including volunteer agreements, background checks, and any relevant certifications.
    • Ensure compliance with all local, state, and federal regulations related to volunteer management.
    • Maintain accurate and up-to-date volunteer and staff records in the HRIS system.
  • Volunteer and Staff Support:
    • Act as the primary point of contact for new volunteers and staff during the onboarding process.
    • Address any questions or concerns that new team members may have regarding their role or the organization.
    • Facilitate communication between new volunteers/staff and their respective teams and managers.
  • Collaboration and Communication:
    • Work closely with program managers and department heads to understand the specific onboarding needs of each role.
    • Coordinate with IT, facilities, and other departments to ensure that all necessary equipment and resources are available for new volunteers/staff on their first day.
    • Assist in the development and improvement of onboarding materials and processes.
  • Continuous Improvement:
    • Monitor and evaluate the effectiveness of the onboarding process.
    • Gather feedback from new volunteers/staff and make recommendations for process improvements.
    • Stay informed about best practices in nonprofit onboarding and volunteer engagement.

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, or a related field is preferred but not required.

  • Experience in HR, onboarding, or volunteer coordination is a plus.

  • Previous experience and knowledge with Enboarder will be highly appreciated

  • Strong organizational skills and attention to detail.

  • Excellent communication and interpersonal skills.

  • Ability to handle sensitive and confidential information with discretion.

  • Proficiency in HRIS systems and Microsoft Office Suite is an advantage.

  • Passion for the nonprofit sector and the organization’s mission.

Preferred Qualifications

  • Experience working in a nonprofit or volunteer-based environment.
  • Familiarity with virtual onboarding processes and tools.

Working Conditions:

  • Flexible hours with the ability to work remotely. All work is conducted virtually.
