As a key member of the HQ team, they report into the Directors who lead the program and support field and program leadership behind the scenes, while also contributing to a positive, collaborative culture across the organization - demonstrating sharp organization, a commitment to data accuracy, and a relentless dedication to operational excellence.

Support, maintain and track the operational infrastructure behind the national program - with a focus on accuracy, consistency and efficiency.

Operations & Program Infrastructure

An organized, process-minded operator who owns the back-of-house - from tracking systems and reporting audits to budgets, payroll, platforms and training resources - so field and program leadership have accurate information and the tools they need. Program Directors lead the development of program tools, brand programming and resources; this role supports that development and owns their ongoing maintenance and tracking. You’ll partner with internal teams across Account, Brand Program & Training, Field, IT, Finance and HR all along the way.

Specifics Include:

Program Operations & Process

  • Support the development of, and maintain, the workflows, timelines, standard operating procedures and communication cadences (including national field call agendas and action-item tracking) that keep the program running
  • Maintain and update Smartsheets, trackers, dashboards and project plans developed by program leadership, using them to track goals, budgets, allocations, deliverables and milestones
  • Identify process gaps and recommend solutions to improve efficiency, accuracy and consistency across national operations

Reporting, KPIs & Data Integrity

  • Track program goals, KPIs and performance metrics; pull and analyze platform reports to identify trends, execution gaps and insights for leadership
  • Audit event recaps, photos and SKU reporting for completeness, accuracy and compliance with program standards, partnering with field leadership to resolve discrepancies
  • Own the accuracy and integrity of all reported program information, maintaining clear records of audits and follow-up actions

Budget, Allocations & Payroll

  • Manage and monitor program budgets and ERS allocations, ensuring resources are tracked accurately and distributed within established guidelines
  • Conduct field payroll audits and approvals, reconciling reported hours against event activity and recaps
  • Maintain consistent audit procedures and checks and balances, escalating discrepancies to the appropriate stakeholders

Platform, Brand & Training Resources

  • Administer the field management platform - including program information, brand resources, training content and dashboards - and serve as the primary liaison with the agency platform resource
  • Support the Directors in developing brand decks, training materials and program resources across the client’s portfolio, and own their ongoing updates, organization and accessibility for field teams
  • Coordinate training materials and communications for new brands, products, promotions and program updates

Cross-Functional Support & Administration

  • Serve as the operational point of contact for IT, Finance and HR needs, coordinating requests and ensuring timely follow-up
  • Partner with the Account Director, Brand Program & Training, and regional and field leadership to keep processes, resources and priorities aligned
  • Support special projects and evolving program needs; complete administrative responsibilities and expense reports accurately and on time

Qualifications

  • 2-4 years of experience in beverage alcohol, field marketing, experiential marketing, brand marketing or program operations preferred
  • Proficient in Smartsheet, including maintaining sheets, trackers, dashboards and reports, strongly preferred
  • Experience with field management platforms and reporting tools preferred
  • Experience with budget tracking, allocations, payroll audits or reporting audits preferred
  • Proficient in Microsoft Office (Excel, PowerPoint, Word, Outlook), including updating presentations and training materials
  • Strong organizational, analytical and problem-solving skills, with exceptional attention to detail and a commitment to data accuracy
  • Strong written and verbal communication skills and the ability to collaborate across internal teams
  • Ability to manage multiple priorities, meet deadlines and adapt to changing program needs
  • Proactive, resourceful and solutions-oriented, with the ability to help bring new processes and resources to life
  • Must be 21 years of age or older
