Responsibilities\n Shipping and LogisticsCoordinate and monitor international shipments, container bookings and air freight deliveries.\nVerify commercial invoices, packing lists, detailed packing lists and bills of lading.\nTrack vessel movements and monitor estimated times of departure (ETDs) and arrival (ETAs).\nLiaise with overseas suppliers and freight forwarders regarding shipping schedules, bookings and documentation.\nMonitor outstanding purchase orders and follow up on delayed shipments.\nCommunicate shipment delays, fabric shortages, overshipments and discrepancies to the Merchandising and Production teams.\nEnsure shipping documentation and shipment statuses are accurately updated on the relevant systems.\nCoordinate telex releases, shipping letters and supplier payment documentation.\nImport Documentation and CustomsVerify air freight documentation, including SAD 500 documents, customs worksheets, EDI notices and airway bills.\nEnsure that shipment quantities, tariff codes, company details and customs reference numbers are accurate.\nAssist with customs clearance documentation and respond to SARS queries and customs stop notices.\nVerify freight and courier invoices to ensure charges and tariff codes are correct.\nResolve documentation discrepancies and customs-related delays with suppliers and freight forwarders.\nInvoice Verification and Claims ManagementReconcile incoming fabric against goods received, supplier invoices and shipping documentation.\nVerify fabric roll numbers, meter quantities, commercial invoice values and landed costs.\nEnsure invoice values and pricing information are accurately recorded on the relevant systems.\nFollow up on supplier claims relating to fabric shortages and CMT discrepancies.\nObtain outstanding supplier credit notes and submit them to the relevant finance personnel.\nInvestigate and resolve discrepancies between received stock, invoices and system records.\nFabric and Trims Stock ControlMaintain accurate fabric stock cards, swatch cards and War Room records.\nReconcile fabric meterage and stock balances against system reports.\nCompare daily trims stock reports against system records and resolve discrepancies.\nMonitor stock availability and communicate updates to Merchandising and Production.\nAssist with fabric swatches, surplus stock sales and stock pricing coordination.\nEnsure all stock records and relevant system workflows are accurately maintained.\nGeneral Administration and CommunicationMaintain professional relationships with suppliers, freight forwarders and internal departments.\nProvide timely updates on shipment schedules, stock availability, outstanding claims and documentation.\nMaintain accurate records and ensure all shipping and stock documentation is properly filed.\nFollow up proactively on outstanding purchase orders, shipments, invoices and claims.\nEnsure compliance with company procedures, customs requirements and internal financial controls.\nMinimum Requirements\nPrevious experience in shipping, import coordination, logistics or stock control.\nExperience dealing with international suppliers and freight forwarders.\nKnowledge of import documentation and customs clearance procedures.\nExperience with invoice verification, stock reconciliation and supplier claims.\nStrong numerical, administrative and organisational skills.\nExcellent communication, problem-solving and follow-up skills.\nProficiency in computerised stock management systems.\nExperience in the clothing, textile or fabric manufacturing industry will be advantageous.\nExperience with Sync, Navis or shipping-tracking platforms will be an advantage.\nSkills and Competencies\nExcellent attention to detail and accuracy.\nStrong planning and organisational abilities.\nGood numerical and analytical skills.\nAbility to identify discrepancies and resolve issues proactively.\nEffective communication and
