This is a senior event management opportunity focused on planning and delivering high-impact internal meetings, conferences, and corporate events. You will manage events from initial planning and logistics through execution, reconciliation, and post-event evaluation. The role combines event strategy, project coordination, budget management, technology, and stakeholder engagement in a collaborative corporate environment. You will work closely with internal and external partners to deliver seamless experiences while maintaining strong operational and financial discipline. The position also offers the opportunity to improve event processes, introduce new technologies, and increase efficiency across conference and meeting support. This is a remote role for professionals in Ontario, with occasional attendance at the Toronto office based on business needs. You will have meaningful ownership of event outcomes while contributing to broader organizational objectives.
Accountabilities:
- Event Planning and Delivery: Plan, coordinate, manage, and implement all aspects of assigned internal meetings, conferences, special events, and high-profile gatherings, ensuring logistics and execution meet organizational objectives.
- Stakeholder Management: Collaborate with internal teams, leadership, external clients, vendors, and other partners to understand requirements and deliver well-coordinated meeting and event experiences.
- Conference Technology: Research, evaluate, and recommend technologies that can enhance conference planning and meeting support, including reservation and communication solutions.
- Project Management: Support project management activities related to conference spaces, including renovation initiatives and other improvements to meeting and event environments.
- Process Documentation: Develop and maintain accurate documentation of processes and procedures supporting special events, conferences, and high-profile meetings.
- Service Levels and Performance: Assist in establishing SLAs and KPIs for event and meeting support processes and monitor performance to ensure agreed standards are consistently achieved.
- Budget Management: Support event budget preparation, tracking, management, and reconciliation while reviewing invoices and billing documentation for accuracy.
- Operational Improvement: Assess existing processes and recommend strategies that reduce costs, improve efficiency, strengthen service delivery, and enhance the overall event experience.
- Post-Event Evaluation: Conduct follow-up activities and review event outcomes to assess effectiveness, identify opportunities for improvement, and inform future planning.
- Education: Bachelor’s degree from a four-year program is preferred, particularly in event management, business, hospitality, communications, project management, or a related field.
- Professional Experience: 3 or more years of relevant experience in event planning, conference management, meeting support, project coordination, or a related corporate environment is preferred.
- Event Management: Demonstrated ability to manage multiple aspects of corporate events and meetings, from planning and logistics through execution and post-event follow-up.
- Project Coordination: Strong organizational and project management skills, with the ability to coordinate timelines, stakeholders, vendors, resources, and competing priorities.
- Budget and Financial Management: Experience supporting budgets, reviewing billing, tracking expenses, and completing accurate financial reconciliation.
- Technology: Ability to evaluate and implement event, reservation, communication, and meeting-support technologies to improve operational effectiveness.
- Process Improvement: Strong analytical mindset with the ability to identify inefficiencies, recommend improvements, and contribute to cost optimization and process standardization.
- Communication: Excellent written and verbal communication skills, with the ability to work effectively with leadership, internal teams, external partners, and service providers.
- Attention to Detail: Strong attention to detail and follow-through, particularly when managing event logistics, documentation, budgets, service levels, and high-profile meetings.
- Collaboration: Comfortable working across functions and coordinating multiple stakeholders while maintaining a high standard of service and professionalism.
- Leadership: Ability to take ownership of complex event initiatives and lead coordination efforts without formal people-management responsibilities.
- Competitive Compensation: Expected annual salary range of CAD $71,000-$90,000, with the final offer determined based on skills and experience.
