This role helps keep project systems, reporting, documentation, and coordination activities organized, accurate, and ready for execution.\nIn this role, you will provide administrative, reporting, and project support that helps the team maintain visibility across active major projects. You will work with project data, Smartsheet tracking tools, customer-facing portals, meeting records, billing support activities, and team communications to help keep projects moving and information current.\nHow you will do it\nSupport project setup and initiation activities for multiple major projects.\nExtract, organize, and format project equipment information for upload into Smartsheet tracking tools.\nCreate and maintain project workspaces, checklists, dashboards, and reporting formulas.\nManage project documentation and maintain accurate project data across tracking systems.\nUpload equipment lists and project documents to customer project portals.\nCreate Level 2 (L2), Level 3 (L3), and Level 4 (L4) forms as required and support completion of L3 forms.\nReview, troubleshoot, and update Smartsheet formulas, dashboards, and tracking tools to support accurate reporting.\nOrganize and maintain project photos uploaded by team members, including proper naming and filing.\nMaintain project management and site supervision resource information, including participation, coverage, certification, and training registers.\nAssist with Schedule of Values (SOV) development, cash flow forecasting, subcontractor cash flow tracking, and billing logs.\nSchedule project team meetings, attend meetings, record key notes, and maintain meeting minutes.\nPrepare action item lists, deliverables trackers, and safety meeting topics and presentations for review.\nProvide general administrative and operational support to the Senior Project Manager and project team as needed.\nOwn your work with accuracy, accountability, and attention to detail so project information stays current and reliable.\nStay close to the work by keeping contact with project teams, updating trackers quickly, and removing administrative obstacles before they affect delivery.\nUse a disciplined approach to reporting, checking inputs for completeness, consistency, and traceability across systems.\nBring a continuous improvement mindset by spotting gaps in processes, formulas, or reporting tools and suggesting practical fixes.\nCommunicate clearly and professionally, especially when coordinating actions, follow-ups, and deadlines across multiple stakeholders.\nWork as one team with the Senior Project Manager, operations, and support functions, sharing information openly and supporting different perspectives.\nHandle sensitive project and financial information with integrity and care.\nWhat we look for\nRequired\nHigh School Diploma or equivalent required.\nStrong attention to detail with a high level of accuracy.\nProficiency in Microsoft Office Suite and Smartsheet.\nAbility to support multiple projects and priorities across North America.\nStrong organizational and time-management skills.\nAbility to identify, troubleshoot, and resolve issues within established systems and processes.\nEffective written and verbal communication skills.\nAbility to work independently with minimal supervision.\nStrong analytical and reporting capabilities.\nProject Coordination\nData Management & Reporting\nOrganizational Excellence\nProblem Solving\nTime Management\nCommunication\nCollaboration\nAttention to Detail\nFinancial Tracking Support\nCustomer Focus\nHIRING SALARY RANGE: $57,000- 97,000 (Salary to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data.)
