This role follows established processes to help maintain licensing compliance, reduce financial and operational risk, improve data quality, and optimize software spend.\nThe successful candidate will collaborate with IT, Procurement, Finance, Legal, Security, vendors, and business stakeholders to support software asset activities, audit readiness, entitlement and usage-data accuracy, and process improvements using ServiceNow SAM Pro and related IT Asset Management platforms.\nKey Responsibilities\nSoftware Asset Lifecycle Management\nSupport software asset lifecycle activities, including request, procurement, deployment, usage tracking, optimization, renewal, and retirement.\nMaintain accurate software entitlement, contract, and inventory records.\nAssist with software renewal planning and lifecycle-governance activities.\nLicense Compliance & Risk Management\nPerform software license reconciliations by comparing entitlements with deployment and usage data.\nAnalyze data to identify and escalate potential compliance risks, licensing gaps, and optimization opportunities.\nSupport remediation activities under the direction of senior team members and appropriate stakeholders.\nMaintain audit-ready documentation and supporting evidence.\nServiceNow SAM Pro Administration & Data Management\nMaintain software models, entitlements, contracts, and reconciliation data in ServiceNow SAM Pro.\nSupport data-quality and software-normalization activities.\nPrepare and maintain standard dashboards, reports, and metrics.\nCollaborate with platform teams and contribute ideas for SAM process and automation improvements.\nSoftware Audit & Vendor Support\nSupport internal and external software audits and publisher true-up activities.\nCollect, validate, and analyze licensing and deployment data.\nCoordinate audit requests and findings with vendors and internal stakeholders as directed.\nAssist with analyzing licensing terms and contractual obligations, escalating complex matters to senior team members, Legal, or Procurement.\nCost Optimization & Financial Management\nAnalyze data to identify potential license reclamation, reuse, consolidation, downgrade, and non-renewal opportunities.\nSupport software budgeting, forecasting, and renewal-planning activities.\nAnalyze software consumption and utilization trends.\nContribute findings to cost-avoidance and spend-optimization initiatives.\nReporting & Analytics\nPrepare and maintain standard reports and dashboards covering software compliance, optimization, renewals, and risk.\nAnalyze software asset data, identify findings, and contribute to recommendations.\nPrepare findings for review and communicate approved insights to appropriate stakeholders.\nProcess Improvement & Governance\nSupport the development and maintenance of SAM policies, standards, and procedures.\nIdentify process gaps and contribute improvement ideas.\nFollow and support established software asset management governance processes.\nSupport enterprise software-centralization and spend-management initiatives.\nCross-Functional Collaboration\nCollaborate with IT, Procurement, Finance, Legal, Security, and business stakeholders.\nCoordinate with software publishers and vendors as directed.\nCommunicate licensing, compliance, and optimization findings to technical and nontechnical audiences, escalating complex matters when appropriate.\n\nRequired Skills & Qualifications\nSoftware Asset Management Knowledge\nUnderstanding of software asset management and IT asset management practices.\nKnowledge of software licensing models including perpetual, subscription, SaaS, cloud, and enterprise agreements.\nAbility to review licensing terms, entitlements, contracts, and renewal conditions and escalate questions or complex matters appropriately.\nServiceNow & Technical Skills\nFamiliarity with ServiceNow SAM Pro or comparable SAM/ITAM platforms; hands-on experience preferred.\nUnderstanding of CMDB, software discovery, endpoint management, and asset management processes.\nExperience working with procurement, contract, and inventory data.\nAnalytical Skills\nStrong analytical and problem-solving capabilities.\nAbility to interpret complex datasets and identify trends, risks, and opportunities.\nProficiency in Excel and familiarity with reporting and dashboard tools.\nStrong attention to detail and data accuracy.\nCommunication & Collaboration\nExcellent written and verbal communication skills.\nAbility to communicate technical licensing concepts to non-technical stakeholders.\nStrong organizational, collaboration, and time-management skills.\nCompliance & Governance\nFamiliarity with software compliance reviews, audits, and licensing governance practices.\nAbility to maintain accurate records and support audit readiness activities.\n\nEducation & Experience\nBachelor’s degree in a related field; equivalent experience may be considered.\nOne to three years of relevant experience in SAM, ITAM, software licensing, procurement operations, IT operations, vendor management, compliance, audit support, or a related analytical area. Relevant internship or transferable experience may be considered.\nAbility to manage assigned priorities in a fast-paced environment while meeting deadlines.\nPreferred Qualifications\nRelevant IAITAM, ServiceNow, or ITIL certification-or interest in pursuing certification.\nFamiliarity with licensing for one or more major software publishers.\nExposure to software audits, true-up engagements, or compliance reviews.\nExperience working in a large or global organization.\nFamiliarity with software financial management, optimization, and governance concepts.\nRole Summary\nThis role is ideal for a detail-oriented and analytical professional who can help transform software entitlement, usage, contract, and procurement data into useful business insights.
