Whether you’ve got deep experience in commercial real estate, skilled trades or technology, or you’re looking to apply your relevant experience to a new industry, join our team as we help shape a brighter way forward.\nAssistant Facility Manager- Soft Services\nIntegrated Facilities Management - Corporate Solutions (region/country)\nWhat this job involves:\n Providing onsite support\nYou will be the upper facilities management’s trusted right hand on all facilities-related activities like maintenance of high quality of Housekeeping standards, Pest control, Landscaping, vendor activities, Events Management, managing daily deployment of vendor staffs, attend and closure of user complaints, records for repair & periodic maintenance of cleaning equipment, store management, monitor par stock of chemicals & consumables, training vendor staffs on process & procedures, coordination with vendor on waste management. You’ll do this by performing routine site inspections to ensure all building processes and best practices are implemented and maintained. Assist in controlling the expenses & provide cost effective solutions. Must be able to work in multiple shifts & timings. Provide with all sorts of Daily/Weekly/Monthly reports and ensuring timely submission of vendor invoices.\nSoft Services Operations\nSupport day-to-day management of all soft services, ensuring consistent service delivery in accordance with contracts and Service Level Agreements (SLAs).\nMonitor service performance and address issues promptly to maintain high standards of cleanliness, safety, and customer experience.\nConduct regular site inspections and audits, producing reports and tracking corrective actions.\nSupport mobilization and demobilization of soft services contracts when required.\nTechnical Services Operations\nOversee preventive maintenance programs and capital improvement projects\nAnalyze and optimize building systems performance and energy efficiency\nManage and mentor a team of engineers and technicians\nEnsure Repairs & Maintenance activities are carried out within timeline.\nEnsure that HVAC, electrical, fire safety, and lighting systems remain fully operational at all times.\nVendor & Contract Management\nLiaise with soft services vendors and contractors to ensure compliance with contractual obligations.\nAssist in reviewing vendor performance, including KPIs, service reports, and invoices.\nSupport the Facilities Manager in managing variations, escalations, and service improvements.\nHealth, Safety & Compliance\nEnsure all soft services activities comply with health, safety, and environmental regulations.\nSupport risk assessments, method statements, and safe systems of work related to soft services.\nAssist with incident reporting, investigations, and implementation of corrective actions.\nEnsure compliance with site policies, statutory requirements, and client standards.\nClient & Stakeholder Engagement\nAct as a point of contact for client and occupier queries related to soft services.\nBuild positive working relationships with clients, occupants, vendors, and internal teams.\nSupport client meetings, service reviews, Events Management and reporting requirements.\nFinancial & Administrative Support\nAssist with budget tracking and cost control for soft services.\nReview invoices and support accurate cost allocation.\nMaintain records, logs, and documentation related to soft services activities and compliance.\nContinuous Improvement\nIdentify opportunities to improve service quality, efficiency, and user experience.\nSupport sustainability initiatives related to waste reduction, recycling, and environmentally responsible services.\nContribute to process improvements and best practice sharing across sites.\nReview existing operations regularly to reduce costs and improve operational standards\nImplement building procedures and performance measures and ensure they are maintained at all times\nundefined\nKey Performance Indicators (Typical)\nCompliance with SLAs and KPIs\nClient and occupant satisfaction levels\nHealth and safety compliance and audit outcomes\nTimely resolution of service issues\nCost control and budget adherence\nSkills & Competencies\nStrong understanding of soft services & Technical operations within a facilities management environment\nGood organizational and time-management skills\nEffective communication and interpersonal skills\nAbility to manage multiple vendors and priorities\nProblem-solving and attention to detail\nCustomer-focused mindset\nProficiency in MS Office (Word, Excel, Outlook); desirable\nWhere can processes be improved?
