This role is the first interaction all experience coming into the SAP office. You set the tone for the SAP experience. AS an integral part of the Facilities team, you will ensure the workplace and client meeting spaces are maintained to the highest standard. You will provide high levels of customer service, and look for opportunities to exceed expectations and create memorable experiences.\nKey Responsibilities include:\nCustomer Communications\nBe the face of the customer service team, greeting all employees and visitors with a warm smile, and in a proactive manner.\nBuild relationships to develop trust and become a go to person in the office.\nLiaise with business stakeholders when required to support their meeting and event booking requirements.\nClient/Stakeholder Management\nProvide superior customer service to meet on-site client’s expectations\nEnsure prompt and timely phone operations and all phone queries are directed to the correct representative.\nEnsure that reception areas, including desk and seating areas and client facing kitchen are always tidy and presentable.\nMeet and greet clients promptly and contact staff members via Teams or phone to advise of guest’s arrival\nEnsure that all Boardrooms, meeting rooms and presentation rooms are cleared promptly, reset and kept in a pristine condition\nAssist with event and meeting room queries.\nEnsure room set-ups are in place for training, conference calls, town hall meetings, etc.\nEnsure that Audio-Visual services are in place and the necessary preparations have been made and are in working order.\nLiaise with IT where required.\nIssue and collect access cards.\nEnsure all visitors are signed into the Visitor Management system.\nCollect and/or receive mail and courier deliveries, receipting in register and contacting relevant staff for collection\nBuild and develop effective client / stakeholder relationships across multiple levels of the organisation.\nContractor & Vendor Management\nOrder all snacks, beverages, crockery and glassware and other pantry items as required\nEnsure all contractors sign into the contractor management system and assist where required.\nCheck ALL delivery dockets for accuracy of supply. Scan and save all.\nHealth & Safety Management\nThis role has the responsibility and duty of care to work safely, taking reasonable care to protect their own health and safety and that of fellow workers and visitors and to comply with all JLL requirements of the health and safety guidelines, policies and rules.\nRaising of incidents, hazards and risks into the system as required.\nAssist with cleaning vendor walkthroughs and inspections.\nSite Operations Management\nSeek ways to constantly reduce costs and improve operational standards\nProvide support for meeting room bookings where required\nCoordinate and assist cleaning staff to ensure upkeep of kitchen area, top up kitchen consumables, packing/unpacking of dishwashers etc.\nEnsure the office is always presentable, if the office is busy, step in and help the cleaning team to achieve a presentable office.\nRisk Management\nAssist in the management of the property risk register and update as needed.\nFollow established escalation procedures and incident reporting procedures\nAdhere to JLL’s business conduct by ensuring compliance with the guidelines, procedures and strategies always.\nSound like you?
