Facilities Executive - HSBC Sri Lanka Account
Position Overview
The Facilities Executive will be responsible for managing and coordinating all facilities management operations for HSBC Sri Lanka locations. This role serves as the primary point of contact for facility-related services, ensuring optimal workplace environments that support business operations while maintaining high standards of safety, efficiency, and compliance.
Key Responsibilities
Facility Operations Management
Oversee day-to-day facilities operations across HSBC Sri Lanka sites, including HVAC systems, electrical systems, plumbing, and building infrastructure. Conduct regular facility inspections to identify maintenance needs and ensure all systems operate efficiently. Coordinate with vendors and service providers to deliver timely maintenance, repairs, and project work. Manage building access control systems, security protocols, and visitor management procedures.
Vendor and Contract Management
Manage relationships with third-party service providers including cleaning, security, landscaping, pest control, and specialized maintenance contractors. Monitor vendor performance against service level agreements and ensure compliance with contractual obligations. Process vendor invoices, track budgets, and identify cost-saving opportunities while maintaining service quality. Conduct regular vendor review meetings and implement corrective actions when necessary.
Health, Safety, and Compliance
Ensure full compliance with local health and safety regulations, building codes, and HSBC global facilities standards. Coordinate fire safety drills, emergency response procedures, and business continuity planning. Maintain accurate records of safety inspections, incident reports, and compliance documentation. Implement and monitor workplace safety programs and conduct risk assessments.
Space Planning and Workplace Services
Support space planning initiatives including office moves, reconfiguration projects, and workstation setups. Coordinate furniture procurement, installation, and asset management activities. Manage workplace amenities including pantries, meeting rooms, and common areas to ensure optimal functionality. Support the implementation of workplace experience initiatives and employee engagement programs.
Project Coordination
Assist in managing facility improvement projects, renovations, and capital expenditure initiatives. Coordinate with internal stakeholders to minimize business disruption during project execution. Track project timelines, budgets, and deliverables to ensure successful completion. Prepare status reports and communicate progress to relevant stakeholders.
Administrative and Reporting
Maintain comprehensive facilities documentation including maintenance logs, warranty information, and equipment manuals. Prepare regular reports on facility performance, incidents, maintenance activities, and budget utilization. Manage facilities-related correspondence and respond promptly to employee queries and service requests. Support annual budget planning and forecasting processes.
Required Qualifications
Education and Experience
Bachelor's degree in Facilities Management, Engineering, Business Administration, or related field. Minimum 3-5 years of experience in facilities management, preferably within banking, financial services, or corporate environments. Experience managing multi-site operations is an advantage.
Technical Skills
Strong understanding of building systems including HVAC, electrical, plumbing, and fire safety systems. Proficiency in facilities management software and computerized maintenance management systems (CMMS). Advanced skills in Microsoft Office Suite, particularly Excel for budget tracking and reporting. Knowledge of local building codes, health and safety regulations, and environmental compliance requirements.
Core Competencies
Excellent organizational and multitasking abilities with strong attention to detail. Effective communication skills in English and Sinhala; Tamil proficiency is an advantage. Strong vendor management and negotiation skills. Problem-solving mindset with ability to respond effectively to emergencies and urgent situations. Customer service orientation with focus on delivering high-quality workplace experiences.

Working Conditions
This position requires occasional after-hours availability for emergencies and critical facility issues. Some travel between HSBC Sri Lanka locations may be required. The role involves both office-based work and site inspections requiring physical mobility.
Reporting Structure
This position reports to the Facilities Manager or Account Manager for HSBC Sri Lanka and works closely with JLL regional teams, HSBC stakeholders, and external service providers.
