Facility Executive - Soft Services

Position Overview

The Facility Executive - Soft Services is responsible for managing and overseeing all soft facility management services to ensure optimal building operations, client satisfaction, and compliance with service standards. This role focuses on non-technical support services that maintain cleanliness, safety, and operational efficiency of facilities.

Key Responsibilities

Service Management & Operations Oversee day-to-day soft services operations including housekeeping, cleaning, pest control, waste management, landscaping, security coordination, and catering services. Ensure all services are delivered according to agreed service level agreements (SLAs) and quality standards. Conduct regular site inspections to monitor service quality and identify areas requiring improvement. Coordinate with multiple service vendors and contractors to ensure seamless service delivery.

Vendor Management Manage relationships with soft service vendors and contractors, ensuring adherence to contractual obligations and performance metrics. Evaluate vendor performance through regular audits and assessments. Negotiate service contracts and renewals to optimize cost-effectiveness while maintaining quality standards. Address vendor-related issues promptly and implement corrective actions when necessary.

Client Relations & Stakeholder Management Serve as the primary point of contact for clients regarding soft services matters. Conduct regular client meetings to review service performance, address concerns, and identify improvement opportunities. Prepare and present service performance reports and recommendations to clients and senior management. Respond to client feedback and complaints professionally, ensuring timely resolution.

Compliance & Health Safety Ensure all soft services operations comply with local regulations, health and safety standards, and environmental guidelines. Maintain accurate documentation of permits, licenses, safety procedures, and compliance records. Conduct risk assessments and implement mitigation strategies for soft services activities. Coordinate emergency response procedures related to soft services operations.

Budget & Cost Management Develop and manage soft services budgets, tracking expenses and identifying cost-saving opportunities. Review invoices and approve payments for soft services contractors. Prepare cost analyses and variance reports for management review. Recommend process improvements to enhance operational efficiency and reduce costs.

Team Leadership & Development Supervise soft services staff and coordinate their daily activities. Provide training and guidance to team members on service standards and procedures. Conduct performance evaluations and support professional development of team members. Foster a collaborative team environment focused on service excellence.

Qualifications & Requirements

Education Bachelor's degree in Facility Management, Business Administration, Hospitality Management, or related field. Professional certifications such as IFMA (International Facility Management Association) or CAFM (Certified Associate Facility Manager) are advantageous.

Experience Minimum 3-5 years of experience in facility management with focus on soft services operations. Proven track record of managing multiple vendors and service contracts. Experience in commercial real estate, corporate facilities, or property management preferred. Demonstrated experience in client-facing roles and stakeholder management.

Technical Skills Strong understanding of soft services operations including housekeeping, security, catering, and pest control. Proficiency in facility management software and computerized maintenance management systems (CMMS). Knowledge of health, safety, and environmental regulations applicable to facility operations. Competency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).

Core Competencies Excellent organizational and multitasking abilities with strong attention to detail. Effective communication skills, both written and verbal, for interaction with clients, vendors, and team members. Problem-solving mindset with ability to make decisions under pressure. Strong negotiation and vendor management capabilities. Customer service orientation with focus on delivering quality results. Ability to work independently and as part of a team.

Working Conditions

This position requires regular site visits and inspections across assigned facilities. Flexibility to respond to facility emergencies outside regular business hours may be required. Physical ability to walk facilities, climb stairs, and conduct site inspections as needed.
