What this opportunity involves:
The Concierge/Lobby Host will assist the Workplace Coordinator with operational activities in front of house, accounting and finance, maintenance and operations, vendor oversight, purchasing of material, equipment & supplies, occupancy services and helpdesk. The Lobby Host is also required to provide administrative support to the team when required. You will be based Front of House with support from the Workplace Coordinator. This a dynamic role and no two days are the same. This is not a typical front of house role, you will be actively engaging with stakeholders, assisting in events and providing a strong front of house service to all staff and clients.
Key Responsibilities include:
- Greeting clients and providing an excellent customer service: name badges, offering tea & coffee, escorting to meeting room
- Answer incoming calls
- Meet and greet to all staff, clients and vendors
- Manage access badges
- Ensuring consumables are maintained and stocktake regularly carried out
- Assist with meeting room requirements (booking / moving furniture / reoccurring events)
- Participate as a key team member during emergency situations
- Assist with the distribution of couriers and mail
- Process requests for car parking
- Oversee new starters: Access Badges, Parking, Inductions, Lockers, Laptops
- Work alongside Workplace Manager and Workplace Coordinator for facility related issues, induction contractors and escorting where required.
- Proactively maintain documentation for front of house via SharePoint and internal systems
- Daily inspections of site ensuring all rooms and client zone remain clear and clutter free.
- Assist the Workplace Coordinator with general admin tasks on reception.
- Partnering with the Client/Stakeholder(s)
- Proactively engage stakeholders to ensure that on site client’s expectations are met
- Build and develop effective client / stakeholder relationships across multiple levels of the organisation
- Keeping the numbers in check
- Actively work to ensure that the site’s financial operations are meeting or exceeding targets and control requirements including the JLL Code of Ethics
- Ensure financial processes are always followed.
- Ensuring everyone stays safe.
- This role has the responsibility and duty of care to work safely, taking reasonable care to protect their own health and safety and that of fellow workers and visitors and to comply with the requirements of the health and safety guidelines, policies and rules.
- Keeping an eye on the Site & Operations
- Recommend continuous quality improvement practices and implement Industry Best Practice operations
- Implement building procedures and performance measures and ensure they are always maintained.
- Assisting on site with stock take / replenish
- Able to work autonomously and efficiently without supervision
- Serves as the key point of contact and ensures continuity of workplace operations during the absence of the Facilities Site Lead
- Limiting Risk to JLL & the Client
- Ensure the JLL Operational Risk Management (ORM) program is implemented and maintained.
- Ensure disaster recovering and business continuity plans are implemented and maintained
- Ensure escalation procedures and incident reporting procedures are implemented and maintained
- Follow established escalation procedures and incident reporting procedures
- Adhere to Jones Lang LaSalle’s business conduct by ensuring compliance with the firm’s guidelines, procedures, and strategies.
- Event Management
- Work alongside the Experience Ambassador/Workplace Coordinator and PAs to manage events for the office, as well as liaising with Concierge for ANZ wide events
- Facilitating delivery of catering and event equipment
- Manage room set ups.
- Managing calendar invites
- Ensuring event space is organised and prepared in advance
- Name tags and all HSE requirements met.
- Managing IT Assets
- Manage hardware assets as they arrive / keep track of the records whilst working alongside IT
- Receiving goods and distributing amongst the team
- Following client procurement and supply guidelines
