What this job involves:

As an Occupancy Planner at JLL, you'll play a pivotal role in shaping how our client optimizes their workspace across Australia and New Zealand, with potential involvement in strategic occupancy planning across Southeast Asia. This position sits at the intersection of data analysis, strategic space planning, and cross-functional collaboration. You'll lead the collection and analysis of business, occupancy, and space data to develop thoughtful recommendations that balance current needs with future growth. Your expertise will guide move requests, block and stack planning, and campus forecasting while ensuring seamless coordination between planning and execution teams. At JLL, we embrace more innovative ways of working, and in this role, you'll champion best practices in occupancy management while serving as the trusted point of contact for Practice Areas and Groups across the region. What your day-to-day will look like:

  • Develop 2-3 years City / building level Supply & Demand modelling and scenario plans

  • Track and manage space and occupancy data within IWMS and relevant technologies, ensuring accuracy and completeness across all platforms

  • Develop innovative space solutions by analyzing occupancy trends, utilization patterns, and demand forecasts to optimize workplace efficiency

  • Handle tactical occupancy planning activities including space planning, block and stack plans, and site stacking plan options with detailed recommendations

  • Collaborate with the occupancy planning team on strategic campus and building forecasts, proactively identifying risks and opportunities across the portfolio

  • Partner with facilities management teams on moves, space audits, vacancy management, and change management initiatives to ensure smooth execution

  • Facilitate the transfer of approved occupancy plans to the MAC (Move, Add, Change) team, maintaining clear communication throughout implementation

  • Manage Practice Area space and occupancy data including supply-demand analysis, growth projections, and allocation strategies for Australia and New Zealand

  • Respond to GUTS tickets, conduct regular data quality governance reviews, and maintain accountability for Monthly Management Reports and ad hoc reporting requirements

  • Provide guidance and advocate for operational best practices across the region, serving as an escalation point for site services and facilities managers

Required qualifications:

  • Minimum 5 years of experience in space planning, occupancy planning, workplace strategy, or corporate real estate management

  • Bachelor's Degree in Architecture, Interior Design, Real Estate, or related field

  • Advanced proficiency in Microsoft Excel including pivot tables, complex formulas, and data analysis techniques

  • Strong presentation and communication skills with expertise in PowerPoint for developing strategy decks and client-facing materials

  • Experience working with IWMS tools or similar data management platforms for space and occupancy tracking

  • Excellent written and verbal communication skills in English, with the ability to articulate complex concepts clearly to diverse stakeholders

  • Demonstrated organizational skills with proven ability to balance competing priorities and manage multiple projects simultaneously

  • Exceptional attention to detail when maintaining documents, managing data, and ensuring reporting accuracy

Preferred qualifications:

  • Strategic-level occupancy planning experience with demonstrated impact on portfolio optimization and organizational space efficiency across multiple sites

  • Experience with office interior renovations, construction coordination, or partnering with project delivery teams on large-scale relocations

  • Working knowledge of AutoCAD and Computer-Aided Facility Management (CAFM) systems

  • Proficiency with GSuite applications including Docs, Sheets, and Slides

  • Experience in APAC markets with understanding of regional workplace dynamics and business practices

  • Demonstrated financial acumen including budget management, cost-benefit analysis, and understanding of real estate financial metrics

  • Proven relationship-building skills across all organizational levels, with ability to influence senior leadership and build trust with site teams

  • Track record of proactively identifying challenges and bringing innovative, data-driven solutions to management
