Portfolio Manager - Property Management

Job Description

The Portfolio Manager is a senior leadership role responsible for overseeing multiple properties and building management teams across diverse locations. This position serves as the strategic liaison between clients, Building Managers, and internal stakeholders, ensuring operational excellence, client satisfaction, and financial performance across an assigned real estate portfolio.

The Portfolio Manager provides leadership, guidance, and oversight to Building Managers who report directly to this role. Responsibilities include managing client relationships, ensuring service delivery standards are met, coordinating engineering services, resolving complex operational issues, and driving performance improvements across all assigned properties.

This role requires a strategic thinker with strong leadership capabilities, exceptional client management skills, and comprehensive knowledge of property operations including mechanical, electrical, and engineering systems.

Key Responsibilities

Team Leadership & Management

Directly supervise and mentor Building Managers across multiple properties, providing guidance on operational challenges, client management, and performance improvement. Conduct regular performance reviews, establish development plans, and ensure Building Managers have the resources and support needed to succeed. Foster a culture of excellence, accountability, and continuous improvement across the portfolio management team.

Client Relationship Management

Serve as the primary point of contact for key clients, maintaining strong relationships and ensuring client satisfaction. Conduct regular business reviews with clients to discuss property performance, address concerns, and identify opportunities for service enhancement. Proactively communicate with clients regarding significant issues, planned initiatives, and portfolio performance metrics.

Operational Oversight

Monitor day-to-day operations across all assigned properties to ensure compliance with service level agreements, building codes, safety regulations, and JLL standards. Review and approve operating budgets, capital expenditure plans, and variance reports. Ensure properties are maintained to optimal standards with minimal disruption to occupants and operations.

Engineering & Technical Services

Oversee engineering services across the portfolio including HVAC, electrical, plumbing, fire life safety, and building automation systems. Coordinate with engineering teams to address complex technical issues, plan preventive maintenance programs, and ensure regulatory compliance. Review and approve major repair projects and equipment replacement recommendations.

Issue Resolution & Escalation Management

Serve as the escalation point for complex operational issues, tenant concerns, and emergency situations across multiple buildings. Coordinate response to critical incidents, ensuring appropriate resources are deployed and stakeholders are informed. Develop solutions to recurring problems and implement preventive measures.

Financial Management

Review and monitor financial performance across the portfolio including operating expenses, cost recovery, capital projects, and budget adherence. Identify cost-saving opportunities while maintaining service quality. Prepare financial reports and variance analyses for clients and senior management.

Strategic Planning

Develop and implement strategic initiatives to improve operational efficiency, sustainability, tenant satisfaction, and asset value across the portfolio. Identify opportunities for process improvement, technology integration, and service innovation. Participate in long-term planning for major capital projects and property repositioning efforts.

Quality Assurance & Compliance

Ensure all properties meet or exceed JLL quality standards, safety requirements, and regulatory compliance obligations. Conduct regular property inspections and audits. Implement corrective action plans as needed and track completion of compliance initiatives.

Vendor & Contractor Management

Oversee vendor selection, contract negotiation, and performance management for service providers across the portfolio. Ensure vendor work quality, cost-effectiveness, and alignment with property requirements.

Job Specifications

Required Qualifications

Bachelor's degree in Business Administration, Facilities Management, Engineering, Real Estate, or related field. Minimum 7-10 years of progressive experience in property management or facilities management, with at least 3-5 years in a supervisory or portfolio management capacity. Proven track record managing multiple properties simultaneously and leading building management teams.

Technical Knowledge & Skills

Comprehensive understanding of building systems including HVAC, electrical, plumbing, fire life safety, elevators, and building automation. Strong knowledge of property management operations, lease administration, and building codes. Proficiency in property management software systems and Microsoft Office Suite. Solid financial acumen including budgeting, forecasting, and variance analysis.

Leadership Competencies

Demonstrated ability to lead, develop, and motivate direct reports across multiple locations. Strong decision-making capabilities with sound judgment in complex situations. Excellent coaching and mentoring skills with a commitment to team development. Ability to drive accountability and performance across distributed teams.

Client & Stakeholder Management

Exceptional client relationship management skills with ability to build trust and credibility with senior-level stakeholders. Strong negotiation and conflict resolution abilities. Professional presence and excellent communication skills, both written and verbal. Ability to present complex information clearly to diverse audiences.

Problem-Solving & Analytical Skills

Strategic thinking with ability to identify issues, analyze root causes, and develop effective solutions. Strong analytical skills to review operational data, financial reports, and performance metrics. Proactive approach to anticipating and preventing problems before they escalate.

Personal Attributes

Highly organized with excellent time management and prioritization abilities. Strong attention to detail while maintaining focus on strategic objectives. Adaptable and comfortable managing multiple priorities in a fast-paced environment. Available for on-call emergency response and occasional travel to property locations as needed.

Certifications (Preferred)

Real Property Administrator (RPA), Certified Property Manager (CPM), Facilities Management Professional (FMP), or equivalent professional credentials are highly desirable.
