About the role:

As our Reception & Workplace Experience Coordinator, you'll be the welcoming face of our multinational, cloud based company client's workplace, creating exceptional experiences for employees and visitors alike.

This dynamic role combines professional reception services, workplace operations, and facilities coordination in a fast-paced corporate environment. You'll manage everything from visitor registration and switchboard operations to meeting room bookings, mail services, and event support, all while maintaining the highest standards of hospitality and service delivery.

Working closely with our Facilities Manager, you'll play a vital part in keeping operations running smoothly, responding to helpdesk tickets, coordinating with vendors, and championing workplace experience initiatives that foster community and engagement.

Key Responsibilities:

  • Create a comfortable, welcoming and hospitable environment for employees and their guests

  • Coordinate with internal and external stakeholders for maintenance and repairs

  • Manage all communications professionally, including calls and emails, while maintaining strict data security and following client protocols

  • Plan experiences and community events within and beyond the office, that unite people and inject fun into the workplace

  • Manage sign-in/out procedures and issue passes for new employees or visitors

  • Assist stakeholders with meeting room bookings to ensure a delightful experience

  • Monitor and order stationery and office supplies when needed

  • Support event organisers with logistics, equipment and assist with AV system setup

  • Liase with facilities and security team and report any incidents, utilising Corrigo and CMO when needed

  • Proactive problem solver capable of managing complex situations and competing priorities
