You'll manage transportation requests, food orders, room reservations, merchandise distribution, and supplies inventory. You'll work with vendors, process financial documents, track deliveries, and maintain service records. This role keeps operations running smoothly by connecting building occupants, vendors, and internal teams.\nWhat your day-to-day will look like:\nProcess adhoc transportation requests from LOBs, coordinate with transportation vendors and update the Managed Spend tracker\nHandle food service requests from quotation to delivery, secure vendor permits, and prepare completion reports\nOrder Grab Food and Grab Mart CareKit items, prepare cost estimates, create confirmation forms, and track deliveries and asset retrieval request using vendor tracker or platform.\nManage conference room reservations within the building facilities.\nMonitor BCP supplies inventory, track incoming and outgoing items, and prepare monthly reports for donation endorsements\nProcess RFPs, endorse paycycle documents to Finance, and coordinate GRN/SCR for JLL and non-JLL invoices\nMaintain trackers for transportation utilization, deliveries, You Matter requests, and LOB distribution prizes\nPrepare monthly accrual reports for transportation, food services, Grab orders, OCS manpower, and You Matter programs\nPrepare Visitors Access Form\nCheck and validate SSL reports, scan store vouchers, and verify ATD attachments for merchandise orders\nGather data from Services Desk POCs for monthly accrual reporting\nRequired Qualifications:\nBachelor's degree in Business Administration, Operations Management, or related field\n2-3 years of experience in service coordination, vendor management, or facilities operations\nExperience managing vendor relationships and coordinating multiple services\nProficiency in Microsoft Excel for tracker maintenance and reporting\nExperience processing invoices, accruals, and financial documentation\nStrong organizational skills and ability to manage multiple tasks simultaneously\nAttention to detail when maintaining records and verifying costs\nGood written and verbal communication skills\nExperience with work order tracking platforms\nAbility to work independently\nPreferred Qualifications:\nExperience in facilities management or corporate services in BPO or multinational companies\nKnowledge of procurement processes and managed spend programs\nExperience coordinating transportation, catering, or corporate events\nFamiliarity with delivery tracking platforms (WExpress, Grab Merchant)\nExperience preparing management reports\nBilingual capabilities\nLocation:\nOn-site -Muntinlupa, PhilippinesIf this job description resonates with you, we encourage you to apply even if you don’t meet all of the requirements.
