Working closely with the Account Director and PDS Manager, the position ensures all Small Projects requests are scheduled, planned, and delivered on time and within budget. The focus is on optimizing each workstream for cost efficiency and operational effectiveness while maintaining the proactive, highly responsive service standards that define the team's approach.\nKey Tasks:\nResponsible for a diverse portfolio delivering Small Projects in the UK & EMEA.\n\nMove Planning - Creating detailed move schedules, inventory audits, and seating arrangements.\n\nVendor Coordination: Managing moving crews, IT/telecom technicians, and building management.\n\nPreparation of tenders, specifications, presentation and business case submission to the client, and management of works through to completion.\n\nRespond to reactive issues raised which falls outside of the FM remit.\n\nSupport Facilities Managers with Small Projects delivery.\n\nDelivery and management of the clients CAPEX expenditure.\n\nProvide assurance and compliance with internal and external audits.\n\nRaise Vanguard PO for projects on the Vanguard system\n\nManage the change process of office space (Re-stacking Vanguard personnel)\n\nWhat your day-to-day will look like:\nClient/Stakeholder Management\nProactively engage stakeholders to ensure small projects are delivered successfully within budget and on time.\n\nBuild and develop effective client / stakeholder relationships across multiple levels of the organisation.\n\nBe a contact for delivery of small projects - providing regular updates on progress at scheduled meetings.\n\nProcurement & Vendor Management\nEnsure vendors are well-managed, delivering services on time and within budget.\n\nEnsure that vendor procurement processes comply with agreed client procurement guidelines as well as Jones Lang LaSalle best practice.\n\nContracts Management\nAssisting in managing all contracts to ensure that they are professionally delivered and demonstrate best value.\n\nEnsure expiry of contracts are well-monitored and re-procurement is initiated if required.\n\nEnsure contracts are continually assessed to deliver best value to the client.\n\nFinance Management / Cost Control / Profitability\nActively work to ensure that the site’s financial operations are meeting or exceeding targets and control requirements including the Jones Lang LaSalle Code of Ethics.\n\nEnsure financial processes are followed at all times.\n\nHealth & Safety Management\nEnsure the provision of a safe working environment.\n\nEnsure compliance with statutory regulations on fire, health and safety standards.\n\nSite Operations Management\nRecommend continuous quality improvement practices and implement Industry Best Practice operations.\n\nImplement small projects procedures and performance measures and ensure they are maintained at all times.\n\nEnsure all Critical Environment (CEM) requirements are met.\n\nRisk Management\nEnsure subcontractors and/or vendors work to Risk Assessments and Method Statements.\n\nEnsure contingency plans are in place for all work activities.\n\nEnsure escalation procedures and incident reporting procedures are implemented and in place.\n\nAssist in the development of guidelines and strategies to ensure compliance with Jones Lang LaSalle’s business conduct.\n\nAchieve Key Performance Indicators and Service Level Agreement\n\nDesired or preferred experience and technical skills:\nQualification in project management or building services, with a minimum of 5 years post qualification working experience in either a consulting or contracting organisation.\n\nProfessional Qualification of recognised body e.g. APMP, CIBSE, AssocRICS / MRICS (or evidence actively working towards APC.\n\nHas experience working in the Financial Services/Banking environment.\n\nExperience of delivering both fabric and mechanical & electrical type projects.\n\nExperience in working with EA’s to establish best practice with office creations & moves\n\nExcellent people skills and ability to interact with a wide range of client staff.\n\nKnowledge of Occupational Safety requirements.\n\nStrong PC literacy and proven ability to manage daily activities using various systems.\n\nKnowledge of vendor management for specialized services.\n\nKnowledge of critical facilities and an understanding of basic technical aspects of property (Computer Room Air-conditioning, Chiller system, Fire Protection system, Mechanical & Electrical system, BMS system).\n\nProven capacity to understand and interpret commercial contracts.\n\nBudget management and financial analysis skills.\n\n3/4 days on site a week\n\nCritical Competencies for Success\nThe successful candidate will have a proven track record of delivering a large volume of small projects and management of all aspects of the commercial contractual requirements from inception to financial close. Experience of delivering projects ideally within a financial services environment or construction consultancy background.\nThey must be:\nFully conversant with all applicable legislation, regulations and standards.\n\nExperienced in the use of Excel, Word, PowerPoint, Microsoft project desirable.\n\nExperienced in project management and procurement.\n\nActs as role model for Jones Lang LaSalle by behaving consistently with cultural requirements.\n\nSet stretch targets for self to achieve maximum team performance.\n\nAble to make difficult decisions and resolve problems or improve operations.\n\nActively searches out opportunities to achieve best results.\n\nPromotes open, constructive and collaborative relations with superiors, subordinates, peers and clients.\n\nListens effectively and communicates through actions and example.
