CECO Environmental is a publicly traded company on the NASDAQ under the ticker CECO, reflecting our strong growth, financial performance, and commitment to delivering value to shareholders.\nThe Project Coordinator is responsible for supporting the administration and execution of projects throughout their lifecycle by maintaining project records, coordinating project setup activities, tracking cost and billing information, supporting customer invoicing, and ensuring project-related documentation is accurate and up to date within Microsoft Dynamics 365 (D365) and other company systems. This position serves as a key liaison between Project Managers, Operations, Accounting, and other departments by providing timely project information, maintaining project data integrity, and supporting reporting requirements. This role will be onsite in Clearwater, FL.\nYour Responsibilities Will Be:\nSet up new projects and customers within D365 in accordance with established procedures and company requirements.\nMaintain project records, customer information, billing milestones, and project documentation throughout the project lifecycle.\nCompile and maintain project cost, billing, and progress data required for Percentage of Completion (POC) reporting and other management reports.\nExtract billing terms, payment milestones, and contractual requirements from project documentation and maintain accurate records within the ERP system.\nSupport project invoicing activities by preparing required documentation and coordinating with Accounting and Project Management teams.\nMaintain project files, supporting documentation, and records to ensure compliance with internal procedures and audit requirements.\nPrepare project cost, billing, and variance reports for Project Managers and Finance personnel.\nMonitor project data for completeness and accuracy and follow up with internal stakeholders to resolve discrepancies.\nAssist Project Managers with tracking project progress, billing milestones, change orders, and project documentation requirements.\nCoordinate with Operations, Purchasing, Production, Service, and Accounting teams to collect and maintain project-related information.\nSupport month-end reporting activities by compiling project data and preparing supporting schedules as required.\nGenerate standard and ad hoc reports from D365 and other systems to support project management and business operations.\nTrack and maintain project-related customer documentation, including certificates of insurance, customer setup requirements, lien waivers, and vendor forms.\nAssist with continuous improvement initiatives related to project administration, reporting, and document management processes.\nProvide administrative and project coordination support to Project Managers and leadership as required.\nPerform other duties as assigned.\nRequired Qualifications:\nAssociate or bachelor’s degree in business administration, Project Management, Accounting, Finance, or a related field preferred.\n2-5 years of experience in project coordination, project administration, customer service, business operations, manufacturing administration, or related roles.\nExperience working with ERP systems, preferably Microsoft Dynamics 365 (D365).\nExperience maintaining project documentation, billing records, customer records, and reporting data.\nProficient in Microsoft Office applications, particularly Excel, Word, and Outlook.\nExperience supporting project teams in a manufacturing, industrial, construction, or contracting environment preferred.\nADA Requirements:\nWork Environment; Office Position: This position is based in Clearwater, FL. Minimal physical requirements, primarily computer use, and communication via virtual platforms, are necessary. Flexibility to adapt to occasional scheduled video meetings and collaborative tasks is essential.\nPositions in this function typically require standing, climbing, balancing, stooping, kneeling, crouching, crawling, reaching, standing, walking, pushing, pulling, lifting, fingering, grasping, feeling, talking, hearing, seeing and repetitive motions.\nConcentrated mental and/or visual attention.
