Team Description:
The office administration team is instrumental in helping Kitware make a positive first impression with visitors, collaborators and candidates, and maintaining a great office environment for our employees. The team also provides administrative services such as shipping, receiving, reception, and event planning to the company. We have ~5K square feet of office space in Carrboro, NC, with additional offices in Clifton Park, NY; Arlington, VA; Santa Fe, NM; and Minneapolis, MN.
Position Description:
The Office Assistant is a part-time position supporting the day-to-day operations of our Carrboro, NC office. This role offers a flexible weekday schedule of approximately 6-9 hours per week, typically 2-3 hours per day on three days. It may be a great fit for someone looking for a small, consistent part-time role that leaves plenty of room for school, family, or other commitments. We are also open to candidates interested in a shorter-term opportunity.
Responsibilities include greeting visitors, ordering and stocking supplies, accepting deliveries and shipping items, coordinating maintenance needs, setting up for office events, and serving as a point person for questions about Kitware’s facilities. The Office Assistant may also participate in longer-term projects, including event planning and space planning.
In This Position You Will:
Greet visitors, complete the sign-in procedure with them, and connect them with their host
Order and stock office and breakroom supplies
Maintain order of breakroom, conference rooms, and other common areas
Keep organized storage areas
Accept and process incoming deliveries and ship outgoing packages
Work with building maintenance and cleaners to resolve issues
Set up and break down in-office events
Contribute to general administrative projects and other duties as assigned
Required Qualifications:
Strong attention to detail along with the ability to effectively multitask
Basic skills in Microsoft Office (Word, Excel, and PowerPoint) or Google Suite
Excellent interpersonal and verbal communication skills
Ability to work onsite at our Carrboro, NC office approximately three weekdays per week, for 2-3 hours per day
Ability to lift up to 25 lbs and stoop, kneel, and crouch regularly
