Job Summary
The Maintenance & Facilities team at KOKO and The House of KOKO is looking for an experienced, multi-skilled and hands-on Assistant Maintenance Manager to support the Maintenance Manager in the day-to-day running of the Facilities department. This is a busy, high-volume operational role focused on ensuring maintenance tasks are logged, prioritised, allocated, actioned and completed efficiently across the KOKO estate.
Working closely with the Maintenance Manager, the Assistant Maintenance Manager will lead and support the maintenance team, helping to manage daily workloads, respond to reactive issues, deliver planned maintenance and ensure outstanding tasks are followed through to completion.
The role is hands-on and requires someone who is comfortable getting involved in practical maintenance while effectively managing a team and coordinating contractors where required. The successful candidate will be organised, proactive and solution-focused, with a strong understanding of Health & Safety and the ability to maintain high standards in a fast-paced live music and hospitality environment.
Role & Responsibilities
Maintenance & Team Management
- Support the Maintenance Manager with the day-to-day running of the Maintenance & Facilities department across KOKO and The House of KOKO.
- Lead the daily management of maintenance tasks, ensuring jobs are logged, prioritised, allocated and completed efficiently.
- Allocate work across the maintenance team based on priority, urgency, skill set and operational requirements.
- Monitor progress throughout the day and ensure outstanding jobs are actively followed up and completed.
- Undertake hands-on maintenance and repairs across the estate, including general building repairs, plumbing, decorating, fixtures, fittings, doors, lighting and other facilities-related works.
- Provide practical support with basic electrical, heating, cooling and refrigeration systems, within appropriate levels of competence.
- Coordinate and support the delivery of planned preventative maintenance, ensuring scheduled works are completed within required timescales.
- Carry out routine plant room checks, temperature readings, filter cleaning and other facilities maintenance activities.
- Identify recurring or potential maintenance issues and raise appropriate solutions with the Maintenance Manager.
- Support maintenance, development and refurbishment works across the estate.
- Respond to maintenance emergencies and operational issues, helping to minimise disruption to venue operations.
- Provide practical guidance and support to team members, sharing knowledge and best practice where appropriate.
- Support a positive, accountable and collaborative team environment, maintaining high standards of workmanship and presentation.
- Support out-of-hours and event-related maintenance requirements where required.
Contractors, Compliance & Safety
- Assist with the coordination of contractors and external service providers across the estate.
- Ensure contractors are appropriately briefed and work safely in line with KOKO procedures.
- Monitor contractor attendance, progress and quality of work, ensuring works are followed through to completion.
- Ensure maintenance activities are carried out in accordance with relevant SOPs, risk assessments and safe systems of work.
- Identify and report hazards, defects, incidents and maintenance-related Health & Safety concerns.
- Support regular venue and departmental Health & Safety checks, audits and fire safety procedures.
- Support the Maintenance Manager in ensuring statutory and compliance-related maintenance is scheduled, completed and followed up.
- Promote safe working practices across the Maintenance & Facilities team.
Communication & Records
- Maintain accurate records of maintenance tasks, completed works, PPM, inspections and contractor activity.
- Keep a clear overview of outstanding works and ensure relevant issues are escalated to the Maintenance Manager.
- Highlight recurring issues, delays or areas requiring further attention.
- Work closely with Operations, Events, Hospitality, Security and other departments to understand and respond to maintenance requirements.
- Communicate maintenance priorities, planned works and operational impacts clearly to relevant teams.
- Coordinate maintenance works around events, busy trading periods and operational requirements to minimise disruption.
- Communicate professionally with contractors, suppliers and external service providers.
About You
We are looking for an experienced, multi-skilled and hands-on maintenance professional who can lead a team effectively in a busy, high-volume environment.
The successful candidate will have:
- Proven experience in facilities or building maintenance, ideally within hospitality, leisure, entertainment or a similarly fast-paced environment.
- Strong practical maintenance skills across general repairs, plumbing, decorating, electrical works, heating, cooling and refrigeration.
- Experience leading or coordinating a maintenance team, with a focus on efficiently logging, prioritising, allocating and completing a high volume of tasks.
- A proactive, practical approach to problem-solving, with the ability to respond quickly to changing operational demands.
- Strong organisational and communication skills, with the ability to keep the team focused and ensure jobs are followed through to completion.
- A good understanding of Health & Safety, compliance and safe working practices, including working with contractors where required.
- A hands-on approach and willingness to get involved and support the team when needed.
- Flexibility to work around the demands of a busy live music and hospitality venue.
