The Practice Manager works collaboratively with clinical leaders and the Patient Access Director to drive results, promote superior customer service, and create a high-performing, patient-centered environment.\nIf you are energized by the opportunity to lead, problem-solve, build strong teams, and make a meaningful impact in people’s lives, we want to meet you.\nThe Logistics:\nLocation: Columbia, MD\nSchedule: Monday - Friday, 10a-6p\nSalary: Up to $65,000 pending experience \nResponsibilities\nOperational Oversight & Practice Efficiency\nProvide direct oversight and leadership of daily clinic operations at Columbia MD location\n\nMaintain a clean, professional, and welcoming environment at both sites.\n\nEstablish and maintain appropriate levels of office/medical supplies and clinical equipment.\n\nEnsure all clinic workflows, from front desk to back-end processes, operate efficiently and in alignment with Kolmac standards.\n\nAdjust operations proactively to maintain peak performance.\n\nProvider & Patient Access\nCoordinate and manage provider schedules; support onboarding of new providers and modifications to existing schedules.\n\nMonitor appointment availability and ensure same-day access whenever possible.\n\nEvaluate staffing and scheduling practices to meet patient demand and financial goals.\n\nPrepare clinics for provider transitions (e.g., departures or additions) to ensure minimal disruption.\n\nPatient Experience & Service Recovery\nServe as a primary point of contact for patient concerns, ensuring timely resolution and satisfaction.\n\nEngage in service recovery and continuous improvement activities.\n\nRegularly review operational reports (e.g., patient flow, no-show rates) and implement data-informed improvements.\n\nStaff Supervision & Development\nSupervise all non-provider staff across both sites; handle training, onboarding, performance management, and payroll.\n\nMaintain and coordinate staffing schedules to support patient care and clinic efficiency.\n\nIdentify and support additional training needs in collaboration with clinical leadership.\n\nEncourage team engagement, development, and a culture of accountability.\n\nLead hiring, promotions, and terminations in alignment with organizational policy.\n\nCompliance & Facility Readiness\nEnsure compliance with environmental, health, safety, and regulatory standards.\n\nMonitor adherence to Kolmac’s Code of Conduct, internal policies, and applicable laws.\n\nWork closely with Compliance and Legal to report and manage risk, privacy, or regulatory concerns.\n\nEducate staff on compliance standards and emergency preparedness procedures.\n\nFinancial Performance & Revenue Cycle Management\nOversee collection of copays, deductibles, and outstanding balances.\n\nMonitor and report on cash collections, payer mix, and accounts payable activities.\n\nEnsure proper documentation, financial tracking, and reporting on daily/weekly/monthly performance.\n\nContribute to overall revenue cycle effectiveness and collaborate with centralized billing teams.\n\nLeadership & Communication\nLead regular team meetings to share goals, updates, and changes to practice operations or policies.\n\nServe as a visible, supportive leader who fosters strong provider-staff relationships and a culture of collaboration.\n\nOther Duties\nProvide backup to staff during peak times or absences.\n\nPerform other duties as assigned to ensure clinic continuity and patient care.\n\nQualifications\n4+ years of experience in healthcare office management and direct staff supervision\n\nProven experience in medical office or behavioral health practice management\n\nStrong interpersonal and communication skills for effective collaboration with clinicians, staff, and patients\n\nExcellent analytical and problem-solving skills\n\nProficiency with healthcare software and administrative systems\n\nEffective leadership, motivation, and goal-setting abilities\n\nSound understanding of healthcare finance and best practices\n\nStrong organizational and time management skills\n\nBachelor’s degree preferred but not required\n\nWe Offer\nMileage reimbursement for inter-site travel\n\nCompetitive Compensation\n\nFull Benefits: Medical/Dental/Vision\n\nLife Insurance\n\n401K\n\nTuition Reimbursement\n\nPaid Professional Development Time\n\nStudent Loan Repayment Program\n\nPaid Vacation Time\n\nAnd more!\n\nKolmac Integrated Behavioral Health has been a leader in Outpatient Treatment since 1973.
