Serves as first point of contact for all visitor questions and IT issues with conferencing software.\nManage global contact phone line to route inquiries to the proper departments.\nTakes ownership of conference room scheduling and resolves booking issues. Proactive in problem-solving to avoid issues before they happen.\nEnsures all guests are registered with lobby security for smooth arrival.\nCoordinates with hospitality team to ensure all conference room spaces are prepared for meetings and events. \nRestocks conference rooms with supplies (pens, notepads, etc) when needed.\nCleans conference room screens when appropriate.\nProactive in scheduling to ensure reception desk coverage during lunch breaks, etc.\nIdentifying and notifying Facilities for repairs and clean-ups to maintain visual quality of the office.\nLead point person for questions from employees and visitors. Ensure all issues are resolved to satisfaction.\nHandles messaging and signage for office during events and filming/recording sessions.\nManages and updates digital signage in office.\nBackup to the Hospitality team when needed.\nAssists in updating our client contact database.\nAssists in office supplies expense reconciliation.\nHandles other special projects and related duties as needed.\nExcellent customer service skills. Comfortable speaking with large groups.\nModerate level of proficiency with Outlook, Word and Excel.\nGood problem-solving skills and sense of when to escalate issues to management.\nAbility to use good judgment and maintain confidentiality. \nActive listening skills and excellent communication skills, both verbal and written\nAbility to work collaboratively and to interact with all staff on different levels consistently with diplomacy and integrity. \nAble to receive constructive criticism for the staff and/or firm’s needs.\nAble to prioritize and multitask with little supervision; also flexible in reprioritizing as needed.\nMaintain an optimistic attitude.
