The Workplace Coordinator will be the first point of contact in the San Jose offices for employees, visitors, customers, and vendors. The role will be responsible for completing office operational and administrative tasks, including managing workplace workflows and systems, while also cultivating a positive and productive workplace.\nWhat You’ll Do\nAssist in the management of our San Jose Office including, but not limited to:\nGreet and register all visitors in a professional and friendly manner, notifying the respective hosts of their arrival\n\nProvide the highest level of customer service and support to all employees, guests and visitors.\n\nMaintain and manage the conference rooms, keeping them clean, neat, and well stocked.\n\nMaintain, order and restock all kitchen snacks, drinks and office supplies.\n\nAssist with workplace safety and security\n\nKeep the fridge and coffee makers clean.\n\nProcess and distribute incoming mail and fulfill any shipping requests\n\nWork closely with IT for equipment or accessory requests from employees.\n\nSource, manage and maintain relationships with all workplace vendors (e.g., food & beverage, janitorial, security, etc.).\n\nManage the Forkable (lunch service) account\n\nCollaborate closely with key internal stakeholders such as HR, IT, Legal, FP&A, and Workplace team members to ensure seamless operations.\n\nBe the first point of contact for any facility issues at the San Jose location.\n\nAssist with onsite and offsite office events (i.e. Happy hours/culture events/etc). Requirements include ordering catering, decorating, setting up and cleaning.\n\nOccasional Travel to SF office to assist with events and coverage as needed.\n\nRoutinely update and maintain the SJ Emergency Action Plan; educate employees on emergency protocols and resources.\n\nAssist the EA team with scheduling and other administrative tasks.\n\nYou\nHave a minimum 2 years of administrative experience\n\nHave experience working in a fast paced work environment\n\nHave experience managing an office space\n\nProficient in Google Suite, MS suite, Slack\n\nHave experience placing supply orders and organizing mail\n\nAre resourceful, a creative problem solver, and adaptable to various competing demands while remaining approachable to the team\n\nHave excellent communication skills (verbal, written, interpersonal)\n\nSalary Range Information\nThis is an hourly role, eligible for overtime. The hourly rate for this position has been set based on market data and other factors.
