You will help ensure work moves smoothly from opportunity and intake through development and delivery, with clear ownership, strong operating rhythms, and consistent processes.\nThis is a highly cross-functional individual contributor role. The ideal candidate is equally comfortable building scalable systems and getting into the details to keep work moving. You will bring structure to ambiguity, identify operational risks early, and drive accountability across teams without relying on formal authority.\nReporting Relationships:\nReports to VP, Product & Client Experience\nLocation:\nPoland- Remote\nIn this role you can expect to\nKey Accountabilities\nOwn Intake and Portfolio Operations\nManage the intake and triage process for new client, product, and learning development work.\nEnsure incoming work has the information needed to assess scope, timing, resource requirements, dependencies, and priority.\nMaintain visibility across active and upcoming initiatives, including owners, milestones, status, risks, decisions, and resource needs.\nOwn the processes and systems used to track the portfolio and ensure information remains accurate and current.\nIdentify conflicting priorities, missing information, and operational risks early and drive them toward resolution.\nSupport leadership in translating strategic priorities into clear plans and sequencing decisions.\nLead Resource and Capacity Planning\nBuild and maintain visibility into team capacity, current assignments, and upcoming demand.\nFacilitate regular resource-planning and prioritization discussions across Solutions, Product, Learning, and Delivery.\nCoordinate resource assignments for new and in-flight work.\nIdentify capacity constraints and competing demands before they impact delivery.\nHelp leadership make informed decisions about priorities, hiring, contractor needs, sequencing, and tradeoffs.\nEstablish Operating Rhythms and Governance\nOwn and facilitate key operating rhythms across Solutions, Product, Learning, and Delivery.\nEstablish clear inputs, outputs, decisions, and accountability for pipeline, portfolio, resource, and project-status reviews.\nEnsure actions, decisions, owners, and follow-ups are clearly documented and completed.\nEstablish clear handoffs, escalation paths, decision points, and ownership across cross-functional workflows.\nContinuously improve operating processes to increase speed, clarity, and effectiveness while minimizing unnecessary process.\nDrive Project and Program Execution\nTranslate complex, cross-functional initiatives into clear plans, milestones, dependencies, and owners.\nCoordinate interconnected workstreams across Solutions, Product, Learning, Delivery, and other partner teams.\nMonitor progress against plans and proactively address blockers, dependencies, and risks.\nEstablish consistent project-management practices for priority initiatives.\nEnsure stakeholders have shared visibility into what is being delivered, when, by whom, and what is required for success.\nManage Budget and Contractor Operations\nMaintain visibility into approved budgets, committed spend, forecasts, and actuals.\nPartner with Finance and functional leaders to keep budget information accurate and current.\nSupport budget planning across product development, learning development, contractors, vendors, and operational needs.\nCoordinate contractor and vendor operations, including spend tracking, invoices, renewals, and operational follow-through.\nIdentify budget risks and variances and surface them to leadership.\nHelp ensure external resources are aligned to priority work.\nOwn Operational Systems and Processes\nOwn the administration and governance of the team's core work-management systems.\nEstablish standards for how teams track work, ownership, status, priorities, and resource needs.\nMaintain strong data and process hygiene so operational reporting can be trusted.\nSupport system access, licenses, renewals, and ongoing administration as needed.\nIdentify opportunities to simplify or improve tools, workflows, and processes.\nMaintain clear documentation for core operating processes and ways of working.\nSupport Team Operations\nMaintain consistent operational onboarding processes for new team members and contractors.\nCoordinate with functional leaders to ensure new hires have the systems, documentation, processes, and context they need to become productive quickly.\nMaintain documentation for team processes, operating rhythms, and ways of working.\nIdentify opportunities to make team operations more consistent, scalable, and efficient.\nProvide Leadership Visibility and Reporting\nProvide leadership with clear visibility into priorities, delivery status, resource capacity, budgets, risks, and key decisions.\nSynthesize complex operational information into actionable insights and recommendations.\nIdentify recurring operational issues, patterns, and opportunities for improvement.\nSupport leadership planning, prioritization, and decision-making.\nCreate transparency and accountability without introducing unnecessary reporting overhead.\nAll About You\nExperience in operations, business operations, program management, product operations, project management, or a related role.\nDemonstrated experience managing complex, cross-functional work across multiple teams.\nStrong project and program management skills, with the ability to turn ambiguity into clear plans and execution.\nExperience designing and improving operational processes, workflows, and operating rhythms.\nExperience with resource planning, capacity management, and prioritization.\nExperience managing budgets, contractors, vendors, or operational spend.\nExperience administering and improving work-management systems and processes.\nExcellent written and verbal communication skills, including the ability to synthesize complex information for senior leaders.\nStrong analytical and problem-solving skills.\nAbility to influence and drive accountability without direct authority.\nStrong attention to detail and
