In this role, you will guide incoming residents and their families through each step, helping them feel informed, supported, and welcome.\nReporting to the Director of Sales and Marketing, you will coordinate residency paperwork, apartment readiness, move-in logistics, and follow-up. Our ideal candidate enjoys helping people, takes ownership of responsibilities, and keeps multiple priorities moving toward completion.\nWhat You’ll Do\nServe as the primary contact for incoming residents and families, clearly communicating next steps, deadlines, and move-in arrangements.\nMaintain accurate move-in checklists and tracking systems, documenting progress and proactively following up on outstanding items.\nPrepare and coordinate residency agreements and required paperwork, ensuring necessary documents and approvals are completed before move-in.\nCoordinate apartment readiness with maintenance, housekeeping, and other departments; conduct pre-arrival inspections and follow through on outstanding items.\nOrganize move-in logistics, including mover schedules, building access, keys, dining arrangements, and welcome details.\nFacilitate internal move-in meetings to confirm responsibilities, deadlines, and readiness across departments.\nPersonally welcome residents and families on move-in day, providing attentive service and addressing questions or concerns.\nIdentify potential delays, troubleshoot issues, and promptly communicate concerns requiring leadership support.\nProvide weekly updates on scheduled move-ins, apartment readiness, and outstanding requirements.\nFollow up after move-in to support a smooth transition and share feedback with the appropriate team members.\nWhat You’ll Bring\nAt least two years of experience in administrative coordination, office management, move-in coordination, or a comparable role involving detailed paperwork, scheduling, and customer service.\nDemonstrated ability to manage multiple deadlines, maintain accurate records, and follow tasks through to completion.\nStrong communication skills and a warm, professional approach to working with residents, families, and colleagues.\nProficiency with Microsoft Office, including Outlook and Excel, and the ability to learn CRM and electronic document systems.\nThe ability to work independently, follow established procedures, identify potential problems, and communicate concerns promptly.\nSound judgment and discretion when handling confidential information.\nExperience in senior living, healthcare, hospitality, or property management preferred.\nCompensation and Benefits\nWe offer competitive hourly pay starting at $26/hour, based on experience, paid time off, insurance benefits, a 401(k) retirement plan, and opportunities for professional development and career growth.\nAbout Amavida\nAmavida is an award-winning, 32-acre, resort-style senior living community adjacent to Lakes Park in Fort Myers, Florida.
