JOB SUMMARY
Baptist Health Rehabilitation Hospital is seeking a professional, organized, and customer-focused Unit Secretary to serve as a vital member of our rehabilitation team.
As the communication hub of the nursing unit, the Unit Secretary supports patient care operations by coordinating administrative activities, facilitating communication among physicians, nurses, therapists, patients, and families, and ensuring the efficient flow of information throughout the hospital. This role is essential in creating a positive patient experience while supporting the clinical team in delivering exceptional rehabilitation care.

QUALIFICATIONS
Required
- High School Diploma or GED.
- Computer experience and proficiency with electronic medical records and office software.
- Strong verbal and written communication skills.
- Excellent customer service and interpersonal skills.
- Ability to multitask and prioritize in a fast-paced healthcare environment.
Preferred
- Two years of college-level education.
- Previous hospital, medical office, or healthcare experience.
- Knowledge of medical terminology.
- Experience with electronic medical record systems.
- Bilingual English/Spanish skills.
ESSENTIAL FUNCTIONS
Administrative Responsibilities
- Greet patients, visitors, and families in a professional and welcoming manner.
- Answer incoming phone calls and direct calls appropriately.
- Serve as the primary communication liaison between physicians, nursing staff, therapists, patients, and ancillary departments.
- Initiate and maintain patient medical records within the electronic medical record system.
- Support patient admission, transfer, and discharge processes.
- Process physician orders and ensure timely follow-up.
- Coordinate patient appointments, testing, transportation, and other unit-related activities.
- Monitor and maintain departmental supplies and equipment.
- Ensure patient charges and documentation are accurately processed.
- Assist with clerical duties including filing, scanning, copying, and record management.
Patient and Visitor Support
- Provide exceptional customer service to patients, families, and visitors.
- Answer patient call lights and communicate requests to the appropriate clinical personnel.
- Assist patients with non-clinical needs as appropriate.
- Provide directions, information, and assistance to visitors and guests.
- Support a welcoming and patient-focused environment throughout the rehabilitation hospital.
Communication and Coordination
- Facilitate communication between members of the interdisciplinary rehabilitation team.
- Communicate effectively with physicians, nurses, therapists, case managers, and ancillary departments.
- Relay important information accurately and promptly.
- Maintain professional and courteous interactions at all times.
Rehabilitation Team Support
- Support nursing and therapy teams by helping coordinate patient care activities.
- Assist with scheduling and tracking patient appointments and services.
- Promote efficient patient flow throughout the facility.
- Contribute to a positive environment focused on recovery and patient satisfaction.
COMPANY RESPONSIBILITIES

- Completes annual health, safety, compliance, and educational requirements.
- Maintains confidentiality of patient and employee information.

- Bilingual English/Spanish skills strongly preferred due to the diverse Miami patient population.
- Additional language proficiency is a plus.
