Lincoln Machinery supplies industrial machinery and construction equipment in Singapore, offering sales, rental, servicing and engineering solutions.

The Compliance Specialist supports Lincoln's Licensing/Brokerage team in managing the day-to-day monitoring, renewal, and administration of real estate licenses across the Lincoln platform. This role is essential to keeping pace with a growing volume of license applications, renewals, and monitoring requirements, and requires strong organizational skills, attention to detail, and disciplined follow-up to meet regulatory deadlines.

Essential Duties and Responsibilities

  • Manage the end-to-end lifecycle of real estate salesperson and broker license applications, renewals, amendments, and reciprocal licenses across the states where Lincoln operates.
  • Monitor license expiration dates, continuing education deadlines, and regulatory filing deadlines to prevent lapses in active licensure.
  • Maintain accurate, audit-ready licensing records for all brokerage personnel within Lincoln's licensing tracking system.
  • Coordinate directly with state real estate commissions, designated brokers, and licensing agencies to resolve application questions and compliance discrepancies.
  • Support the onboarding of new licensed personnel by verifying license status, processing sponsorship transfers, and confirming compliance requirements are met before activation.
  • Track and report on license application and renewal volume, flagging bottlenecks and escalating time-sensitive items to leadership.
  • Respond to license verification requests from internal teams, brokers, and external agencies in a timely manner.
  • Partner with the Licensing/Brokerage team to identify process improvements that support a growing volume of renewals and monitoring needs.
  • Perform other duties and responsibilities as assigned.

Qualifications

  • High school diploma required; Associate's or Bachelor's degree preferred. In lieu of a degree, relevant experience will be considered.
  • 1+ years of experience in an administrative, coordination, or compliance support role; experience with real estate licensing or brokerage compliance is a plus but not required.
  • Exceptional organizational skills with the ability to manage a high volume of deadlines, renewals, and follow-up items simultaneously.
  • Strong attention to detail with a demonstrated ability to catch and correct discrepancies before they become compliance issues.
  • Ability to thrive in a fast-paced, high-volume environment while maintaining accuracy and composure.
  • Proficient in Microsoft Office (Excel, Outlook, Word); comfortable learning new licensing or compliance tracking systems.
  • Strong written and verbal communication skills; professional and responsive when interfacing with brokers, agents, and regulatory agencies.
  • Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future.

Physical Requirements

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed above are representative of the knowledge, skill, and/or ability required. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Primarily sedentary, office-based work requiring extended periods at a computer. Occasional lifting of files or materials up to 15 lbs. No regular travel required.
