We're backed by some of the best investors in Silicon Valley, including Kevin Weil (Chief Product Officer at OpenAI), Arash Ferdowsi (co-founder of Dropbox), Katie Stanton (former VP Global Media, Twitter), and CEOs of companies such as Flexport, Notion, Front, Ramp, and Twitch.\n Our team is in-office 4 days a week (Monday - Friday, Wednesday optional WFH) in either San Francisco, California or New York, New York.\nAbout the Role\nWe're looking for a Founding Recruiting Coordinator to help build a first-class hiring experience as Luminai scales. You'll be the connective tissue between candidates, recruiters, hiring managers, and interviewers by making sure every interaction is smooth, timely, and reflects well on the company.\nThis is a high-ownership role for someone who thrives on process and detail. You won't just execute a checklist; you'll help shape how Luminai hires, spotting friction points and building the systems that let the team scale without losing the personal touch. Your work will directly impact candidate experience, hiring velocity, and the quality of talent that joins Luminai.\nThis role is ideal for a coordinator who enjoys fast-paced environments, takes pride in flawless logistics, and wants real influence over how a growing company builds its team.\nWhat You'll Do\nSchedule and manage a high volume of interviews in close partnership with recruiters and hiring teams\n\nAct as a primary point of contact for candidates throughout the process, ensuring clear, timely, and warm communication at every stage\n\nGreet and host candidates for onsite interviews, manage interviewer flow, and troubleshoot issues in real time\n\nMaintain accurate candidate and requisition data in Ashby, keeping hiring teams aligned on pipeline status and next steps\n\nCoordinate interview logistics end-to-end, including travel, calendars, and cross-team scheduling\n\nPartner with recruiters and hiring managers to gather requirements for open roles and keep processes moving forward\n\nIdentify gaps in existing recruiting workflows and help design and implement improvements\n\nBuild and maintain interviewer pools, onboarding new interviewers as hiring needs evolve\n\nSupport recruiting events, career fairs, and other adhoc projects as Luminai's hiring needs grow\n\nManage confidential and sensitive candidate information with a high level of discretion\n\nWhat We're Looking For\n4-6 years of experience in recruiting coordination\n\nA genuine process mindset, you notice inefficiencies and can't help but want to fix them\n\nExcellent written and verbal communication skills, with a professional yet approachable tone\n\nStrong organizational skills and the ability to juggle competing priorities without dropping the details\n\nComfort working directly with candidates, executives, and cross-functional stakeholders\n\nA proactive, solutions-oriented approach to problems, paired with sound judgment and integrity\n\nExperience with Ashby, Notion, Slack, and Google Suite (Sheets, Docs) preferred\n\nBonus: experience coordinating in a high-growth or start up
