These positions keep the project office running: submittals and requests for information moving inside contractual time frames, action items closed, cost and progress reporting current, and a project record that holds up long after the people who built it have moved on. We place coordinators into program offices, field offices, and construction management teams, so we are looking for people who have carried the day to day coordination load on a program of real size.\nThis post is for future roles and not for a specific opportunity that is available right now. We accept applications and conduct interviews in advance of upcoming hiring needs. When a candidate is selected, their profile is activated in our talent pool for this specialty area. We notify our talent pool candidates first whenever we have a project need.\nResponsibilities may include, but are not limited to, the following:\nCoordinate the daily operations of the project office, including meeting agendas, minutes, and action item tracking, and drive open items to closure with the parties who own them.\nTrack submittals, requests for information, and change documentation through the program’s management information system, and keep contractor and reviewer turnaround inside the contractual time frames.\nMaintain the project record, including correspondence, transmittals, contract documents, and supporting files, so decisions stay traceable through audit, claim review, and funding review.\nReview contractor and consultant deliverables for completeness and conformance with the contract’s documentation requirements before they reach the program’s technical reviewers.\nMonitor progress reporting and field activity against the accepted schedule, and report deviations, operational impacts, and discrepancies to the project manager.\nDevelop project status reports, progress summaries, and staffing plans for program and funding agency audiences, drawn from schedule, cost, and document control data.\nSupport program cost tracking by maintaining budget, accrual, invoice, and cash flow records, and reconciling pay applications and change documentation against the program’s cost record.\nCoordinate site access, badging, escorts, and work windows on active facilities so field work happens only inside the periods the operator approves.\nCoordinate information flow across program disciplines, agency stakeholders, third parties, and adjacent contracts so questions reach the right reviewer and the answers get recorded.\nCoordinate contract closeout, including punch list tracking, final inspection scheduling, as-built and warranty submittals, and record retention.\nGuide project staff on the program’s documentation standards and the proper use of project systems and procedures.\nAttributes\nExcellent written and verbal communication and interpersonal skills.\nExcellent multi-tasking and organizational skills.\nCollaborative mindset that fosters teamwork, trust, and positive relationships.\nNatural curiosity, problem-solving abilities, and a commitment to continuous improvement.\nMinimum Qualifications\nBachelor’s degree in construction management, civil engineering, construction engineering, or project management, or related field, or equivalent combination of education and experience.\n5+ years of project coordination experience on multiple task order contracts for large (>$500M), complex, heavy-civil infrastructure projects.\nExperience tracking submittals, requests for information, and change documentation through a project or construction management information system on transit and transportation projects.\nWorking knowledge of construction contract administration, including submittal and request for information workflows, change documentation, and project recordkeeping.\nThorough knowledge of general office practices and procedures, including business correspondence standards and the arithmetic behind quantity, invoice, and budget records.\nExperience with industry standard project / construction management software (e.g., Primavera P6, MS Project, Unifier, Kahua, etc.).\nProficiency with Microsoft Office Suite/Office 365 (e.g., Outlook, Teams, Word, PowerPoint, etc.).\nPreferred Qualifications\nMaster’s degree in construction management, civil engineering, construction engineering, or project management.\nActive professional certifications such as CAPM or PMP (PMI), and/or CCM (CMAA).\nExperience coordinating the owner’s project office on a program exceeding $1B in construction value.\nExperience coordinating documentation, reporting, and correspondence across multiple concurrent contracts or work packages on the same program.\nExperience supporting contract administration on a package exceeding $100M in construction value, including change documentation, pay applications, and closeout.\nExperience coordinating submittal and shop drawing tracking on bridge or structures packages.\nProficiency with Microsoft Power BI, Oracle Cloud Analytics, or other dashboard KPI reporting software.\nCompensation Details\nExpected Salary: $75k-$135k/year ($36-$65/hour).
