You’ll own interview logistics and keep candidates, recruiters, and engineering teams aligned as Mach scales. This role requires someone who takes ownership, anticipates challenges, and moves quickly to deliver a thoughtful, well-organized candidate experience.\nKey Responsibilities\nOwning the onsite interview experience, including room readiness, presentation setup, candidate arrival, and serving as the primary point of contact throughout the visit\n\nManaging interview scheduling across candidates and internal teams, resolving calendar conflicts and adapting to last-minute changes\n\nCoordinating candidate travel and logistics, including flights, hotels, transportation, and expense reimbursements\n\nMaintaining accurate candidate records in the applicant tracking system and following up on interview feedback to keep hiring decisions moving\n\nSupporting recruiting events, university visits, and team hiring initiatives through planning, logistics, and candidate communication\n\nImproving recruiting workflows, scheduling processes, and candidate preparation materials to support a growing team\n\nRequired Qualifications \nBachelor’s degree in business, marketing, administration, communications, or a STEM field.\n\n1+ years of experience in recruiting coordination, administrative support, hospitality, event coordination, or a similarly detail-oriented role.\n\nStrong organizational skills and the ability to manage multiple interview schedules, competing priorities, and last-minute changes.\n\nClear, professional communication and a welcoming approach to working with candidates, interviewers, and hiring managers.\n\nExperience managing calendars in Google Workspace or Microsoft Office, with the ability to quickly learn recruiting and scheduling tools.\n\nA proactive approach to solving problems, anticipating needs, and following through with minimal oversight.\n\nAbility to work onsite at our Huntington Beach headquarters and handle sensitive candidate information with discretion.\n\nPreferred Qualifications \nExperience coordinating interviews or supporting a recruiting team in a fast-paced startup or technical environment.\nFamiliarity with Greenhouse or another applicant tracking system.\nExperience arranging candidate travel, managing itineraries, and processing reimbursements.\nExperience preparing conference rooms, presentation equipment, and video conferencing tools.\nA track record of improving scheduling processes and finding ways to make recruiting operations more efficient.\nAdditional Requirements\nAvailable to work extended hours and weekends as needed\nITAR Requirements\nTo conform to U.S. Government export regulations, applicant must be a (i) U.S. citizen or national, (ii) U.S. lawful, permanent resident (aka green card holder), (iii) Refugee under 8 U.S.C. § 1157, or (iv) Asylee under 8 U.S.C. § 1158, or be eligible to obtain the required authorizations from the U.S. Department of State.
