The role supports day-to-day operations by maintaining infrastructure, managing documentation, attendance, procurement processes, vendor coordination, asset management, and regulatory compliance.\nKey Responsibilities\n1. Facility Management\nEnsure overall upkeep and maintenance of the warehouse facility.\nMonitor office infrastructure, utilities, lighting, housekeeping, and common areas.\nCoordinate with vendors for facility repairs and maintenance activities.\nEnsure all facility-related issues are addressed within defined timelines.\n2. Attendance & Manpower Management\nMaintain daily attendance records of employees and contract manpower.\nTrack absenteeism, overtime, and shift attendance.\nCoordinate with HR and manpower vendors for attendance reconciliation.\nEnsure timely submission of attendance reports.\n3. Documentation & Compliance\nMaintain statutory, compliance, and operational records.\nEnsure all SOPs, licenses, permits, and audit documents are updated and available.\nSupport internal, external, customer, and regulatory audits.\nMaintain document control and record retention as per company guidelines.\n4. PR & PO Management\nRaise Purchase Requisitions (PRs) for site requirements.\nFollow up on approvals with relevant stakeholders.\nCoordinate with procurement teams for Purchase Order (PO) generation.\nTrack PR/PO status and ensure timely closure.\n5. Invoice Verification & Submission\nCollect invoices from vendors and service providers.\nVerify invoice details against approved POs and services rendered.\nSubmit invoices to the finance team for processing.\nTrack payment status and coordinate with finance for timely vendor payments.\n6. Vendor & Housekeeping Management\nMonitor the performance of facility, housekeeping, and support service vendors.\nEnsure housekeeping standards, cleanliness, and hygiene are maintained across the site.\nConduct periodic vendor performance reviews.\nEnsure vendor staff compliance with safety, grooming, and workplace standards.\n7. AMC & Machinery Monitoring\nMaintain records of all machinery and equipment under AMC.\nTrack AMC validity and renewal dates.\nCoordinate preventive maintenance schedules.\nLiaise with vendors during equipment breakdowns and service activities.\nEnsure minimum downtime of critical equipment.\n8. Site Gemba & Audit Management\nConduct daily site inspections and Gemba walks.\nIdentify safety, quality, compliance, and facility-related gaps.\nTrack corrective and preventive actions until closure.\nSupport continuous improvement and Kaizen initiatives.\n9. Administrative Support\nProvide administrative support to warehouse operations and support functions.\nCoordinate meetings, visitor management, and site-level administrative activities.\nArrange office supplies and site requirements as needed.\n10.
