Nestled between rainforest and sea, each suite and villa is a study in quiet luxury, thoughtfully framed by nature and attuned to the rhythm of the land.\nAbout the job\nThe Finance Supervisor - Accounts Payable is responsible for overseeing the day-to-day Accounts Payable function, ensuring that supplier invoices and payments are processed accurately, timely, and in accordance with hotel policies, internal controls, and financial procedures.\nThe position will supervise the AP team, monitor outstanding invoices and payments, ensure proper documentation and approvals, and support the Finance Manager in maintaining effective financial controls and accurate financial records.\nAs Finance Supervisor - Accounts Payable you will be responsible for the following duties:\nAccounts Payable Operations\nSupervise the daily operations of the Accounts Payable function.\nReview and verify supplier invoices, credit notes, debit notes, and payment requests.\nEnsure invoices are properly supported by Purchase Orders, Receiving Records, and other relevant documentation.\nEnsure invoices are accurately coded and posted to the appropriate accounts and cost centres.\nMonitor the timely processing of invoices and payments in accordance with agreed payment terms.\nReview payment batches and supporting documents before submission for approval.\nMonitor and follow up on outstanding invoices and payment discrepancies.\nEnsure proper filing and maintenance of AP documentation.\nSupplier Account Management\nMaintain accurate supplier accounts and ensure balances are properly reconciled.\nPerform regular supplier statement reconciliations and investigate discrepancies.\nRespond to supplier enquiries regarding invoices, payments, and outstanding balances.\nCoordinate with Purchasing, Receiving, Cost Control, and relevant departments to resolve invoice discrepancies.\nEnsure supplier master data is maintained accurately and in accordance with company procedures.\nMonth-End Closing\nAssist in the month-end closing process for Accounts Payable.\nEnsure all invoices received within the accounting period are properly recorded.\nPrepare and review AP-related schedules and reconciliations.\nAssist with accruals and provisions for outstanding invoices where required.\nEnsure AP balances are accurate and properly supported.\nInternal Controls & Compliance\nEnsure compliance with hotel financial policies, procedures, and internal controls.\nEnsure appropriate authorization and approval are obtained before payments are processed.\nMonitor compliance with segregation of duties within the AP process.\nIdentify and report unusual transactions, discrepancies, or potential control weaknesses to the Finance Manager.\nAssist with internal and external audits by providing required AP records and supporting documents.\nTeam Supervision\nSupervise and guide Accounts Payable colleagues in their daily responsibilities.\nAllocate workloads and monitor the team's performance and deadlines.\nProvide coaching and guidance on AP procedures and accounting systems.\nTrain new team members on Accounts Payable processes and hotel financial procedures.\nEnsure the team maintains a high level of accuracy and service standards.\nReporting & Analysis\nPrepare and review AP ageing reports.\nMonitor outstanding and overdue invoices and provide updates to the Finance Manager.\nPrepare supplier reconciliation reports and other AP-related reports as required.\nAssist with cash flow and payment planning by providing accurate information on upcoming supplier payments.\nHighlight significant variances, overdue balances, or unusual transactions to management.\nAs Finance Supervisor - Accounts Payable, we expect from you:\nEducational Background\nDiploma or Degree in Accounting, Finance, or a related field.\nMinimum 3-5 years of relevant Accounts Payable or accounting experience, preferably within the hotel or hospitality industry.\nPrevious supervisory experience is preferred.\nGood knowledge of Accounts Payable processes and accounting principles.\nExperience with hotel accounting systems or SCM Check and Sun systems is an advantage.\nSkills\nGood knowledge of Microsoft Excel.\nGood command of written and spoken English.\nStrong attention to detail and numerical accuracy.\nGood organizational, communication, and problem-solving skills.\nDetail-oriented and highly organized.\nStrong integrity and confidentiality.\nProactive and responsible in handling financial matters.\nAble to work under pressure and meet strict deadlines.\nGood supervisory and interpersonal skills.\nAble to work effectively with different departments and suppliers.\nStrong sense of accountability and commitment to accuracy.\nOur commitment to you\nLearning & Development.
