Designed to be a sanctuary in the heart of the city, the hotel promises an elevated experience for both leisure and business travelers seeking comfort, excellence, and distinction in Manila.\nThe Role\nThe Receiving Clerk is responsible for inspecting, receiving, and recording all incoming goods and deliveries to ensure they meet the hotel’s quality, quantity, and purchase specifications. This role is critical in maintaining inventory accuracy, preventing losses, and supporting internal control over procurement and warehouse operations.\nKey Responsibilities\n1. Receiving & Inspection of Deliveries\nReceive all delivered goods from suppliers\nVerify deliveries against:Purchase Orders (PO)\nDelivery Receipts (DR)\n\nInspect items for:Correct quantity\nQuality standards\nDamages or discrepancies\n\nReject or report defective or incorrect items\n2. Documentation & Recording\nPrepare and process Receiving Reports (RR)\nRecord all incoming items accurately in:Inventory systems\nReceiving logbooks\n\nEnsure proper documentation is complete and signed by authorized personnel\n3. Coordination with Departments\nWork closely with:Purchasing Officer (for order details and supplier issues)\nAccounts Payable (for invoice validation)\nStorekeeper/Cost Controller (for inventory updates)\n\nCommunicate discrepancies or issues immediately \n4. Inventory Handling\nEnsure proper transfer of received goods to:Warehouse / storeroom\nEnd-user department (for direct issuance)\n\nLabel and organize items according to storage requirements\nFollow FIFO (First-In, First-Out) principles\n5. Quality Control (Hotel-Specific)\nInspect sensitive items such as:Fresh produce (F&B)\nMeat, seafood, and perishable goods\nHousekeeping supplies\n\nEnsure compliance with hotel and food safety standards\n6. Discrepancy & Issue Reporting\nReport:Shortages\nOver-deliveries\nDamaged goods\n\nPrepare discrepancy reports and coordinate with Purchasing for resolution\n7. Coordination with Departments\nWork closely with:Sales & Marketing (contracts, credit approvals)\nFront Office (guest folios and billing)\nEvents/Banquets (event billing and deposits)\n\nAddress disputes or discrepancies in billing promptly\n8. Internal Controls & Compliance\nEnsure strict compliance with procurement and receiving procedures\nMaintain independence from Purchasing (segregation of duties)\nPrevent unauthorized acceptance of goods\nSupport audit requirements and documentation\n9. Safety & Storage Compliance\nEnsure proper handling of goods to prevent damage\nFollow safety guidelines for:Heavy items\nHazardous materials\n\nMaintain cleanliness and order in receiving area \n10.
