The position monitors order status, identifies and resolves exceptions, and provides timely communication to customers and internal partners. Working closely with customers, Sales, Supply Chain, Logistics, Finance, IT, and Operations, the specialist supports order accuracy, on-time delivery, customer satisfaction, and continuous improvement across the order-to-cash process.The Order Management Specialist reports to the Manager of Customer Experience and is located at the EcoWater Systems head office in Eagan, MN.\nOverall Responsibilities\nOrder Management\nProcess and manage customer orders accurately from entry through fulfillment and invoicing.\nTake and return calls from customers regarding status of their orders\nReviewing orders for pricing, terms, availability, freight, and customer-specific requirements\nManaging order holds, changes, cancellations, returns, shortages, and back-orders\nInvestigating discrepancies involving pricing, quantities, shipments, or invoices\nMaintaining accurate customer, product, and shipping information\nDocumenting root causes and recurring order issues\nEscalating supply or delivery risks based on defined criteria\nPartner with Sales, Supply Chain, and Logistics to resolve order discrepancies and ensure on-time delivery.\nMonitor order status, inventory levels, and shipment details to proactively communicate with internal and external partners.\nSupport continuous improvement initiatives related to order accuracy, lead time, and customer satisfaction.\nCross-Functional Collaboration\nPartner with IT, Finance, Supply Chain, Sales, and Operations to align order processes and resolve issues efficiently.\nSupport end-to-end order-to-cash processes, including order entry, fulfillment coordination, invoicing, and customer communication.\nContribute to cross-functional projects focused on process standardization, service improvement, and operational efficiency.\nQualifications, Skills, Competencies\nRequired qualifications.\nHigh school diploma or equivalent\n1+ years of experience in order management, customer service, sales operations, or a related operations role.\nStrong working knowledge of ERP system.\nProficiency with Microsoft Excel, Word, Teams, Outlook, and related business applications\nAbility to manage detailed transactions and competing priorities\nHigh attention to detail and commitment to order accuracy and customer service.\nExcellent communication, problem-solving, and organizational skills.\nAbility to work cross-functionally and manage multiple priorities in a fast-paced environment.\nPreferred qualifications\nAssociate or bachelor’s degree in business, Supply Chain, or a related field preferred.\nExperience with Epicor\nComplete order-to-cash processes\nMeasurable success expectations\nOrder-entry accuracy\nOrder processing turnaround\nTotal orders entered\nInvoice or pricing discrepancy rates\nCustomer response time\nInternal and external customer satisfaction\nCompletion of process-improvement actions\nWorking Conditions\nHours of work will generally be during regular business hours with at least 40 hours a week but may vary according to special projects, deadlines or other concerns. The position is in the Eagan MN office up to 5 days per week.
