Medcan is currently recruiting for a 15-month contract Coordinator, Membershipsto join our Memberships team as a primary first point of contact for clientsacross Year Round Care (YRC) and Dedicated Care (DC).
This role is phone-and queue-focused, providing timely administrative and clinical support while ensuring a consistent, high-quality client experience.
Membership Coordinators work as part of a collaborative, interdisciplinary Membership team, partnering closely with Senior Coordinators, nursing teams, physicians, and other internal departments to support seamless care delivery.
We are seeking aclient-focused professional with a positive attitude who can work independently and as part of a team. The Coordinator is responsible for managing high-volume inbound and outbound client communications, supporting appointment coordination, clinical task routing, and maintaining accurate documentation across systems.
This role requires strong communication skills, exceptional organization, and the ability to triage requests efficiently in a fast-paced environment.
What You'll Do:
Client Access & Communication
Serve as a first point of contact for clients via phone, email, and internal communication channels
Manage inbound client inquiries and provide timely, accurate information
Appropriately route requests to nurses based on SMART client triage document
Respond to client, internal, and provider emails in accordance with service standards
Monitor and respond to voicemails daily
Deliver an elevated, hospitality-inspired client experience through personalized, high-touch interactions that anticipate client needs, build trusted relationships, and create memorable moments across every point of interaction from clients.
Appointment & Scheduling Support
Book, reschedule, and manage physician and client appointments
Maintain and assign waitlists, including YRC physician waitlist management
Coordinate client and physician rescheduling in collaboration with clinical teams
Administrative & Clinical Support
Support normal result reporting as directed
Process prescription refill requests according to established workflows
Perform Email-to-Case (ETC) categorization and prioritization
Support work in multi-channel environment, managing inbound and outbound communication requests from clients and providers accurately and efficiently
Sort and manage Physician inbox (incoming labs and documents)
Reconcile old lab requisitions and referral records
Support general referral inquiries
Set up new client profiles in Salesforce
Act as an AI-enabled healthcare professional, using intelligent technologies, automation, and digital tools to enhance service delivery, increase capacity, reduce administrative burden, and enable more meaningful client interactions.
Training & Team Support
Support onboarding and training of team members as assigned
Work collaboratively with Senior Coordinators, nurses, and broader Membership teams to support continuity of care
Maintain compliance with service standards, documentation practices, and privacy requirements
Participate in YRC Physician onboardings as necessary
The Requirements:
Minimum 1 year of experience in healthcare administration, client services, or a related role
Strong verbal and written communication skills
Excellent organizational and multitasking abilities
Comfort working in high-volume phone and queue-based environments
Proficiency with MS Office; experience with Salesforce and Accuro EMR considered an asset
Demonstrated ability to follow standardized workflows and escalation pathways
This is a 15-month contract role. The hours are Monday - Friday 10:30 am-7:00pm with occasional Statutory Holiday shifts required on rotation.
Primarily remote position with a required in-clinic team meeting approximately once per month in Toronto at 150 York street.
This role will be reporting to the Team LeadCoordinator, Memberships,Client Care Centre (CCC).
Position Pay Range
$41,830.00 - $57,516.25 CAD annuallyPay will be determined based on an analysis of the selected candidate's experience and qualifications within the role's compensation grade. Medcan's compensation ranges are determined by a combination of required qualifications and skills, market value, and internal equity. The above range pertains solely to the base compensation and is not inclusive of additional compensation details such as perks, benefits, and potential bonuses or incentives.
