Supported by a large community of medical experts and focused on clinical success and patient safety, MEDFAR was the first company to certify a cloud-based Electronic Medical Record in Canada: MYLE (Make Your Life Easy).\nCommitted to promoting excellence and effectiveness in healthcare worldwide, MEDFAR differentiates itself by offering a unique healthcare management solution for clinics, which replaces inefficient processes with a faster and safer technological alternative.\n Assistant Controller\nLocation: Hybrid - Montreal, Quebec (two days per week in the office)\nDepartment: Finance\nCompany: MEDFAR Group\nPosition Summary\nThe Assistant Controller supports the Controller and Finance leadership team in ensuring the accuracy, integrity, and timely reporting of financial information while maintaining strong internal controls and effective accounting processes across multiple entities.\nThis hands-on role is responsible for key accounting and financial reporting activities, including month-end close, bank and balance sheet reconciliations, GST/QST compliance, cash-flow monitoring and forecasting, payment review and approval, variance analysis, and audit support.\nThe Assistant Controller will work closely with the Controller and Finance leadership team to provide accurate financial information, identify trends and variances, strengthen financial controls, and support informed business decision-making.\nThe ideal candidate is detail-oriented, analytical, organized, proactive, and comfortable working independently in a dynamic, multi-entity environment.\nRole Scope\nThe Assistant Controller's primary focus will be on accounting, financial reporting, financial analysis, reconciliations, cash-flow management, internal controls, and process improvement.\nDay-to-day billing operations and direct management of the billing function will fall under the responsibility of the Billing Manager. The Assistant Controller may provide financial oversight, analysis, and support related to billing when required.\nKey Responsibilities\nAccounting & Month-End Close\nSupport the monthly, quarterly, and year-end close processes, ensuring accuracy, completeness, and adherence to established deadlines.\n\nPrepare and review journal entries, accruals, prepaid expenses, and other accounting adjustments.\n\nPrepare and review balance sheet reconciliations and investigate and resolve discrepancies in a timely manner.\n\nMaintain accurate supporting schedules and documentation for key balance sheet accounts.\n\nReview general ledger activity to identify unusual transactions, errors, and required adjustments.\n\nSupport the preparation and review of monthly financial statements and management reporting.\n\nEnsure accounting transactions are recorded accurately and in accordance with established accounting policies and procedures.\n\nIdentify opportunities to improve the efficiency and effectiveness of the month-end close process.\n\nBank Reconciliations & Cash Management\nPrepare and review bank reconciliations for multiple accounts and entities.\n\nInvestigate and resolve outstanding, unusual, or aged reconciling items on a timely basis.\n\nReview bank transactions to ensure transactions are accurately recorded in the appropriate accounting period and accounts.\n\nMonitor cash balances and assist with short-term cash requirements and cash management.\n\nPrepare and maintain cash-flow forecasts and compare actual cash activity against forecasts.\n\nIdentify significant cash-flow variances and provide analysis and commentary to Finance leadership.\n\nGST/QST & Tax Compliance\nPrepare, review, and submit GST/QST returns within required filing deadlines.\n\nReconcile GST/QST receivable and payable accounts to the general ledger.\n\nReview transactions to ensure appropriate indirect tax treatment and investigate discrepancies as required.\n\nMaintain appropriate supporting documentation for government filings.\n\nAssist with tax audits, government inquiries, and information requests.\n\nSupport other tax and statutory compliance activities as required.\n\nAccounts Payable & Payment Controls\nReview bi-weekly payment runs and validate payments prior to release.\n\nVerify supporting documentation, account coding, approvals, payment terms, and vendor information.\n\nApprove bi-weekly payments within delegated authority while maintaining appropriate segregation of duties and internal controls.\n\nIdentify and investigate unusual, duplicate, or potentially incorrect payments before processing.\n\nMonitor accounts payable aging and support the resolution of vendor and payment-related issues.\n\nIdentify opportunities to strengthen payment controls and improve payment approval workflows.\n\nCash-Flow Forecasting & Financial Analysis\nPrepare and maintain short- and medium-term cash-flow forecasts.\n\nMonitor actual cash flow against forecast and investigate significant variances.\n\nAnalyze actual results against budget, forecast, and prior periods.\n\nInvestigate significant financial variances and identify underlying business drivers.\n\nAnalyze operating expenses, departmental spending, vendor costs, and other key cost drivers.\n\nIdentify trends, risks, and opportunities for cost optimization and process improvement.\n\nProvide clear and actionable explanations of significant financial variances to the Controller and Finance leadership team.\n\nFinancial Systems & Data Integrity\nEnsure the accuracy and integrity of financial data within accounting and ERP systems.\n\nSupport improvements to accounting processes, system controls, and automation to enhance efficiency and data reliability.\n\nAudit & Year-End Support\nPrepare schedules, reconciliations, and supporting documentation for external auditors.\n\nCoordinate responses to audit requests and assist in resolving accounting and reporting questions.\n\nSupport year-end financial statement preparation and other statutory reporting requirements.\n\nEnsure audit schedules and supporting documentation are complete, accurate, and provided within required deadlines.\n\nAssist the Controller with special projects, process improvements, and ad hoc financial analysis as required.\n\nBusiness Partnership & Ad Hoc Analysis\nPartner with Finance and other departments to provide financial information and analysis to support business decisions.\n\nProvide financial insight into operational performance, trends, and key business drivers.\n\nAssist the Controller and Finance leadership team with financial projects and initiatives.\n\nPrepare ad hoc financial analysis and reporting as required.\n\nContribute to the continuous improvement and development of the Finance function.\n\nKey Success Measures\nSuccess in this role will be demonstrated through:\nAccurate and timely completion of month-end, quarter-end, and year-end close activities.\n\nWell-supported balance sheet accounts, with reconciling items identified, investigated, and resolved promptly.\n\nAccurate and timely reconciliation of intercompany balances across entities.\n\nAccurate and timely GST/QST filings and supporting reconciliations.\n\nAccurate and reliable cash-flow forecasts with meaningful analysis of actual-to-forecast variances.\n\nWell-controlled weekly payment processes with appropriate validation, authorization, and segregation of duties.\n\nClear, accurate, and actionable financial and variance analysis.\n\nTimely and well-organized support for external audits and year-end reporting.\n\nStrong financial controls and accurate financial data across accounting systems.\n\nContinuous improvement in the accuracy, efficiency, automation, and scalability of accounting and financial reporting processes.\n\nQualifications\nBachelor's degree in Accounting, Finance, Business Administration, or a related field.\n\nApproximately 5-8 years of progressive accounting experience, preferably within a multi-entity or growing organization.\n\nStrong knowledge of accounting principles, month-end close processes, reconciliations, and financial reporting.\n\nExperience with balance sheet reconciliations and intercompany accounting.\n\nExperience with cash-flow forecasting and financial/variance analysis.\n\nExperience with GST/QST preparation and compliance is preferred.\n\nStrong Excel skills and experience working with accounting and/or ERP systems.\n\nExperience working in a multi-entity environment is an asset.\n\nBilingualism in French and English is an asset.\n\nKey
