This role works primarily in Paychex and SmartRecruiters, maintaining accurate employee data and providing leadership with reporting on open requisitions, hiring activity, terminations, headcount, turnover, and other key workforce metrics. The ideal candidate has strong payroll expertise, advanced Excel skills, and the analytical ability to turn workforce data into actionable insights while maintaining confidentiality and meeting critical deadlines.\nEssential Functions and Responsibilities\nPayroll Processing\nProcess accurate and timely biweekly and supplemental payroll, including wages, bonuses, deductions, adjustments, and employee status changes.\nReview timecards, audit payroll data, resolve discrepancies, and ensure accurate payroll processing.\nMaintain payroll records for new hires, terminations, compensation changes, and leaves of absence.\nReconcile payroll and benefit deductions, respond to employee inquiries, and support payroll audits and compliance requirements.\nEnsure payroll practices align with applicable multistate wage and hour requirements and company policies.\nHRIS & Workforce Analytics\nMaintain accurate employee and payroll data in Paychex and recruiting data in SmartRecruiters.\nDevelop recurring and ad hoc reports for leadership covering open requisitions, hires, terminations, headcount, turnover, retention, and recruiting activity.\nConsolidate and analyze data across HR, payroll, and recruiting systems to identify trends, discrepancies, and workforce insights.\nCreate Excel reports, dashboards, charts, and presentations that support leadership decisions and workforce planning.\nIdentify opportunities to improve data integrity, reporting accuracy, and process efficiency.\nBenefits & HR Operations\nSupport benefits administration, including new hire enrollment, qualifying life events, benefit changes, reconciliations, COBRA, 401(k), and Open Enrollment.\nAdminister and maintain records related to FMLA and other leaves of absence, including tracking, documentation, reporting, and coordination in accordance with applicable requirements and company policies.\nMaintain confidential employee records and support HR compliance, audits, and reporting requirements.\nPartner with Human Resources, Talent Acquisition, Finance, and Operations on reporting requests, reconciliations, and process improvements.\nUse Excel and appropriate AI tools to improve reporting and workflow efficiency while protecting confidential employee information.\nBenefits\nAt TVG-Medulla / Chiro One Wellness Centers, we offer benefits designed to support our team members both professionally and personally, including:\nMedical, dental, and vision insurance\n401(k)\nPaid time off\nPaid company holidays\nShort-term and long-term disability benefits\nComplimentary chiropractic care for you and eligible family members\nEmployee wellness benefits\nTraining and professional development\nCareer growth opportunities within a growing healthcare organization\n Minimum Requirements\n3+ years of hands-on payroll processing experience in a high-volume, multistate environment.\nWorking knowledge of payroll processing, timekeeping, deductions, taxes, and payroll compliance.\nExperience using an HRIS to maintain, extract, validate, and analyze employee data.\nStrong Microsoft Excel skills, including pivot tables, VLOOKUP/XLOOKUP, formulas, and data manipulation; proficiency in Word, PowerPoint, and Outlook.\nStrong analytical and numerical skills, with the ability to identify discrepancies, analyze workforce trends, and prepare clear reports for leadership.\nAbility to manage competing payroll and reporting deadlines in a fast-paced environment.\nStrong written and verbal communication skills, a customer-service mindset, and the ability to handle confidential information with discretion.\nPreferred Qualifications\nExperience with Paychex/Paychex Flex and SmartRecruiters or another applicant tracking system (ATS).\nExperience with benefits administration, including reconciliations, COBRA, 401(k), and Open Enrollment.\nExperience with FMLA and leave of absence administration.\nExperience reporting on open requisitions, hiring, headcount, turnover, retention, terminations, and workforce trends.\nExperience developing dashboards and presentations for senior leadership in a multistate or multisite organization.\nExperience using AI tools, such as Claude AI, to improve reporting, analysis, and workflow efficiency.\nBachelor's degree in Human Resources, Business, Analytics, Information Systems, or a related field preferred.\nFundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) certification a plus.\n Disclaimer:\nAll team members agree to consistently support compliance and TVG-Medulla, LLC policies and Standards of Excellence with regard to maintaining the privacy and confidentiality of information, protecting the assets of the organization, acting with ethics and integrity, reporting non-compliance, adhering to applicable federal, state, and local laws and regulations, accreditation, and licenser requirements (if applicable), and Medulla procedures and protocols.
