This position is responsible for ensuring medical records are accurately received, prepared, processed, indexed, and scanned to support patient care, regulatory compliance, and revenue cycle operations.\nThe Health Information Associate performs technical and clerical HIM functions, including document imaging, record processing, release of information support, and Epic work queue management. This role is critical to maintaining timely access to patient records, ensuring data integrity, and supporting operational excellence across the organization.\nKey Responsibilities\nMedical Records Processing\nReceive, prepare, scan, and index paper and electronic medical records accurately and efficiently.\nVerify patient and document information before processing records into the electronic health record.\nEnsure records are available in a timely manner to support patient care, coding, billing, and compliance requirements.\nEnter or update missing information as needed to maintain record accuracy.\nDocument Imaging & Information Management\nUtilize document imaging systems and HIM software to process medical records.\nPerform quality checks to ensure scanned documents meet organizational standards.\nMonitor and correct indexing errors and document exceptions.\nMaintain the integrity and confidentiality of all protected health information (PHI).\nWork Queue & Workflow Management\nManage assigned Epic and HIM work queues.\nPrioritize workload to meet departmental turnaround time expectations.\nAssist in reducing record backlogs and maintaining records processing standards.\nQuality & Performance\nMonitor quality, productivity, and standard work metrics.\nFollow departmental policies, procedures, and regulatory requirements.\nIdentify and report workflow issues affecting record accuracy or efficiency.\nParticipate in process improvement initiatives as assigned.\nTeam Support\nUtilize all available resources within the Document Management System (DMS) and related applications.\nCollaborate with HIM team members and internal stakeholders to resolve documentation issues.\nProvide support for department operations and perform additional duties as assigned.\nMinimum Qualifications\nEducation\nHigh School Diploma, GED, or equivalent required.\nExperience\nBasic computer skills required.\nAbility to navigate multiple software applications and maintain accurate electronic records.\nPreferred Qualifications\nExperience\nExperience in medical records, healthcare administration, document imaging, or health information management preferred.\nOne (1) year of experience in an acute care medical records department preferred.\nCustomer service experience preferred.\nKnowledge, Skills & Abilities\nStrong attention to detail and commitment to accuracy.\nAbility to maintain confidentiality and handle sensitive information appropriately.\nSelf-motivated and highly organized with strong time-management skills.\nAbility to prioritize tasks and make informed decisions in a fast-paced environment.\nAdaptable to changing priorities, technologies, and departmental needs.\nStrong analytical, problem-solving, and research abilities.\nAbility to perform repetitive tasks with a high degree of accuracy.\nComfortable working on a computer for extended periods.\nStrong interpersonal and communication skills.\nAbility to work independently as well as collaboratively within a team environment.\nWhy Join Mercy?\nAt Mercy, our mission is centered on compassionate care and exceptional service.
