Office Manager & Executive Assistant

We are looking for a Technical Marketing Specialist who can help bridge the gap between deep tech and compelling storytelling, translating complex technical capabilities into powerful, data-driven B2B narratives.
Administration of due diligence processes
Supporting day-to-day operations and handling ad hoc executive requests
Overseeing corporate documentation and contract processes (NDAs, partnership agreements, MoUs, etc.)
Coordinating the full document lifecycle, from preparation and internal approvals to signing and archiving
Monitoring deadlines and ensuring proper document control
Managing administrative correspondence and maintaining organised records
Cooperating with law firms, accounting offices and external service providers
Organising business travel and handling related logistics
Supporting procurement processes and administrative aspects of projects, including publicly funded projects where applicable
Supporting recruitment and onboarding processes
Managing HR documentation, contracts, working hours and absence records
Ensuring smooth office operations, including supplies, service coordination and vendor management
Organising meetings, company events and welcoming guests
Requirements
At least 3 years of relevant experience in executive support, administration or office management
Excellent organisational and prioritisation skills
Strong attention to detail and process ownership
Ability to manage confidential information
Proactive and solution-oriented mindset
Fluency in Polish and English, both written and spoken
