About the right team member

As an integral member of our Implementation Team, the Implementation Project Coordinator will keep customer onboarding projects organised, on track and moving forwards. You will be working directly with customers throughout their implementation and coordinate the administration behind each project ensuring that actions and important details don't get missed. 

Day to day, you will set up and maintain project plans and all related documents alongside clarifying timelines, next steps and following up on any outstanding actions whilst helping keep go-live activities on schedule. You will partner closely with the project management team, escalating any risks, dependencies and proposed changes so that they may be assessed and resolved before they affect project delivery. You will also collaborate with internal teams such as Sales and Customer Success, thereby creating a connected customer journey.       

About the role

  • Coordinate implementation activities ensuring next steps are clear for all parties.
  • Ensure support is given to customers on implementation journey and providing clear communication on implementation timelines
  • Develop and maintain detailed project plans to monitor progress, manage dependencies, and ensure transparency across teams.
  • Manage changes to project scope, timelines, and costs, leveraging strong communication and negotiation skills to balance priorities and mitigate risks.
  • Utilise project management tools and techniques to measure performance, providing data-driven insights and reporting on key milestones.
  • Identify, assess, and mitigate project risks, ensuring proactive issue resolution to maintain project success.
  • Create and maintain comprehensive project documentation, ensuring clear records of decisions, action items, and progress.
  • Maintain accurate project information and documentation, monitor project progress whilst highlighting and delays and/or risks
  • Work with Sales, Customer Success and other internal teams to support smooth transition throughout the customer journey
  • Develop an understanding of implementation processes and project management best practices whilst learning the Mindbody product.

Skills & experience

  • Fluency in English, French and/or Spanish is required 
  • Exceptional written and verbal communication skills, with a high level of emotional intelligence to effectively engage and influence stakeholders at all     

    levels, both internally and externally.

  • Strong attention to detail with the ability to maintain accurate project information
  • Excellent relationship-building abilities, with the capacity to foster trust, maintain composure under pressure, and proactively resolve client concerns with professionalism and ease.
  • Previous experience with project management and collaboration tools is beneficial, not essential.
  • Proven ability to drive results and take ownership of business objectives, demonstrating accountability in delivering high-impact outcomes.
  • Comfort working in an ambiguous, fast-paced environment, with the ability to navigate cross-functional collaboration and align multiple stakeholders toward a common goal.
  • Problem solving skills and willingness to learn
  • Strong interest in developing a career in project management.
