This next chapter is about scaling smart, powered by AI, a clear vision and real ownership.\nBig tech impact, without the big tech ick.\nJob description:\nRole purpose\nThis role exists to make sure every supplier and employee across the Mitti Group is paid accurately and on time. The Accounts Payable (AP) Specialist does this by keeping invoice processing, expense approvals and payment runs on track, and by keeping vendors and internal teams well supported.\nKey responsibilities\nWork as part of the AP team, under the AP Manager, to process invoices in Zip from intake and coding through to approval, so invoices are processed accurately and within agreed turnaround times.\n\nAssist in preparing the weekly AP payment run and the employee expense pay run, working with the AP team and the AP Manager, and act as backup for the AP Manager’s payment run.\n\nReview employee expense reports in Navan against policy, give clear feedback where something does not comply, and clear approvals promptly.\n\nContribute to the shared AP inbox in Intercom, giving suppliers and internal staff timely, accurate answers and resolving queries through to completion.\n\nKeep supplier records in NetSuite accurate and current by onboarding new vendors, validating their details and tidying up records when needed.\n\nSupport month-end close with credit card reconciliations and other AP tasks, delivering by the agreed deadlines.\n\nContribute to the weekly AP payables review for Financial Planning & Analysis (FP&A), and flag any trends or risks in what you see.\n\nLook for ways to improve how AP work gets done, including using AI and automation, and put forward changes to the AP Manager.\n\nRequired skills & experience\nTechnical skills\nAccurate invoice coding and matching across multiple legal entities and currencies.\n\nWorking knowledge of AP controls, including vendor validation, approval workflows and segregation of duties.\n\nAbility to reconcile credit card and expense data to the general ledger.\n\nConfidence learning finance systems quickly. Experience with Zip, NetSuite, Navan or Intercom is a plus, and training will be provided.\n\nClear written English for supplier and stakeholder communication.\n\nProven track record of high-volume, deadline-driven AP processing, ideally in a fast-growing or software-as-a-service (SaaS) environment.\n\nBehavioural skills\nDetail-focused and self-checking: reviews their own work before it reaches anyone else.\n\nSelf-directed: manages competing deadlines independently and flags risks early, without needing to be chased.\n\nFollow-through: sees vendor and employee queries through to resolution rather than passing them along, and involves the right person when it needs escalating.\n\nOpen and honest: seeks feedback, acts on it, and speaks up when a payment or process looks wrong.\n\nSolution oriented: brings options, not just problems, when something is not working.\n\nCustomer minded: treats suppliers and colleagues as customers, and works well across the Manila and Australia teams.\n\nAI skills\nUses Claude and other AI tools as part of everyday work, for example to draft vendor responses, summarise queries, and spot anomalies or duplicates in payment and expense data.\n\nChecks AI output for accuracy before acting on it, and applies sound judgement on what is appropriate to share with AI tools.\n\nActively looks for ways to improve how AP work gets done through AI, and shares what works with the team. Everyone at Mitti is expected to do this.\n\nSuccess looks like\nInvoices are processed within agreed turnaround times, and none are left in draft at the end of each day.\n\nThe AP inbox is actioned daily, with vendor and employee queries resolved first time wherever possible.\n\nThe team's payment runs and expense runs go out on schedule and free of errors, with this role's contribution accurate and on time.\n\nMonth-end AP and credit card reconciliation tasks are completed by the close deadlines.\n\nAt least one improvement to AP ways of working, including through AI, has been proposed and adopted.\n\nKey stakeholders\nAccounts Payable Manager\n\nAccounting and Finance team across Manila and Australia\n\nFP&A\n\nEmployees submitting expenses, and budget holders\n\nExternal suppliers and vendors\n\nWhat this role is not\nThe AP Manager owns the AP function. The AP Specialist contributes to processing and preparing payments as part of the team, but does not approve payments or make policy decisions. Those sit with the AP Manager and the wider Finance leadership.\nWhat you need to know\nOffice/in-person: this is a hybrid role based in Manila.
