Serving as a primary operational contact for customers, overseas partners, carriers, truckers, warehouses, customs brokers, and internal teams, this role ensures shipment visibility, operational accuracy, compliance, and service excellence. The Import Transportation Coordinator exercises sound judgment, operational ownership, and proactive problem-solving to support business objectives and deliver a high level of customer service.\nDUTIES & RESPONSIBILITIES:\nServe as the primary operational contact for customers and partners, providing proactive shipment updates and issue resolution.\nMaintain shipment visibility and communicate delays, exceptions, and delivery milestones in a timely manner.\nIdentify transportation solutions that balance customer requirements, service expectations, and cost efficiency.\nSupport customer satisfaction through responsive service and proactive management of shipment risks.\nCoordinate international air and ocean import shipments from booking through final delivery.\nManage shipment documentation, customs clearance coordination, dispatching, and delivery scheduling.\nMaintain accurate shipment records, milestones, and operational data within CargoWise and related systems.\nEnsure compliance with customer SOPs, operational procedures, and service standards while supporting continuous improvement initiatives.\nInvestigate and resolve shipment delays, documentation discrepancies, billing issues, and service failures.\nImplement corrective actions to minimize operational disruptions, storage, demurrage, detention, and additional costs.\nAnalyze transportation challenges and develop practical solutions to meet customer and operational requirements.\nEscalate high-risk or customer-sensitive situations appropriately while maintaining accountability for resolution.\nPartner with customers, overseas offices, Customs Brokerage, Domestic Operations, carriers, warehouses, and other stakeholders to support shipment execution.\nCommunicate operational updates, delivery requirements, and service exceptions clearly and professionally.\nSupport cross-functional initiatives that improve service, efficiency, and operational consistency.\nAssist with onboarding, training, and mentorship of less experienced team members when requested.\nComplete file rating, billing audits, P&L reconciliation, and invoice finalization within established timelines.\nEnsure shipment documentation, billing information, and operational records are accurate and complete.\nSupport operational profitability through cost awareness, accurate billing, and reduction of preventable transportation expenses.\nMaintain compliance with company standards, customer requirements, and financial controls.\nPerform other duties as assigned.\nBENCHMARKS FOR MEASURING SUCCESS:\nMaintains accurate shipment visibility, milestone management, and documentation throughout the shipment lifecycle.\nSuccessfully coordinates international air and ocean shipments from booking through final delivery.\nDemonstrates strong operational knowledge of import transportation processes and service execution.\nMaintains responsive, professional communication with customers, partners, and internal stakeholders.\nProactively identifies and resolves shipment issues while minimizing service disruptions and unnecessary costs.\nEnsures billing accuracy, file completion, and financial compliance within established timelines.\nIndependently manages complex shipment requirements while contributing to team success and continuous improvement.\nSKILLS & QUALIFICATIONS:\nTechnical Skills:\nProficiency in CargoWise and transportation management systems.\nStrong understanding of international air and ocean import operations.\nKnowledge of import documentation, customs clearance coordination, and transportation processes.\nAbility to utilize carrier portals, tracking tools, and operational reporting systems.\nProficiency in Microsoft Office Suite, including Excel, Word, and Outlook.\nBusiness Skills:\nStrong organizational, analytical, and problem-solving abilities.\nExcellent verbal and written communication skills.\nAbility to prioritize workload and manage multiple deadlines in a fast-paced environment.\nStrong customer service and relationship management skills.\nHigh attention to detail, equivalent.\n2-3 years of experience in international transportation, freight forwarding, logistics, or supply chain operations.\nExperience coordinating international air and/or ocean import shipments.\nStrong customer service, organizational, and communication skills.\nPreferred Qualifications:\nAssociate’s or Bachelor’s degree in Supply Chain, Logistics, Business, or a related field.\nExperience using CargoWise or similar transportation management systems.\nKnowledge of customs clearance, import documentation, and international transportation regulations.\nOFFICE / WORK ENVIRONMENT & PHYSICAL DEMANDS\nThis position operates in a professional office environment (and/or remotely from a home office) with a quiet to moderate noise level and routinely requires the use of standard office equipment such computers, photocopying machines and storage/filing cabinets.
