Job Title:

Portfolio Coordinator

Reporting To:

Technology Portfolio Office Manager

Work Schedule:

Hybrid - Buffalo, NY

Moog’s Corporate IT organization is looking for a Portfolio Coordinator to provide operational support to the Technology Portfolio Management Office (PfMO).

In this role, you will be in an operational and administrative role focused on maintaining accurate portfolio information, supporting governance and reporting processes, and serving as a key coordinator for portfolio management systems and records. Working closely with Business Analysts, Project Managers, Technology leaders, Procurement, and Finance, you will help ensure portfolio data is current, complete, and actionable.

Our ideal candidate is detail-oriented, comfortable working in systems and data, and interested in supporting portfolio operations, reporting, governance administration, and non-project operational intake coordination. You will not own business analysis deliverables or project governance agendas, but provide the structure, data quality, coordination, accountability, and follow-up needed for the PfMO to operate effectively.

You will have a hybrid work schedule, with a minimum of three days in-office each week, at our Corporate Headquarters in East Aurora, NY.

To qualify for the Portfolio Coordinator role, here is what we would expect you to bring to Moog…

  • Associate’s or bachelor’s degree in Business, Information Technology, Project Management, or related field; or equivalent experience.
  • Over one year of experience in PMO support, project coordination, portfolio administration, business operations, reporting, data management, or related roles.
  • Experience working with ServiceNow, including data entry, reporting, workflow administration, or portfolio-related activities.
  • Strong attention to detail and ability to maintain data accuracy across multiple systems and reporting sources.
  • Strong organizational, analytical, communication, and follow-up skills with the ability to drive assigned tasks to completion.
  • Must live local to the Buffalo, NY area to work onsite.

Preference will be given to candidates who have:

  • Experience with ServiceNow Strategic Portfolio Management (SPM).
  • Familiarity with project management methodologies (Agile, Waterfall).
  • Familiarity with portfolio governance, project lifecycle administration, and operational reporting.
  • Experience developing or maintaining tracking repositories, reporting solutions, operational dashboards, or Power BI reports.

As the Portfolio Coordinator, you will…

  • Coordinate portfolio information in ServiceNow SPM and related modules, partnering with record owners to keep records current and validated.
  • Monitor portfolio data quality and proactively identify missing, incomplete, outdated, or inaccurate information.
  • Partner with Business Analysts, Project Managers, Procurement, Finance, and technology stakeholders to resolve data discrepancies and maintain reliable portfolio records.
  • Support the ongoing optimization of portfolio management processes, reporting, workflows, and tools through configuration, testing, and the strategic use of AI and automation to drive continuous improvement and operational excellence
  • Prepare recurring portfolio reports, dashboards, scorecards, and status summaries.
  • Consolidate project and demand information from multiple sources into standardized reporting outputs.
  • Monitor portfolio metrics, data completeness, and reporting trends requiring follow-up or escalation.
  • Support executive and governance reporting by preparing data, summaries, and presentation inputs prescribed by portfolio leadership.
  • Support Business Analysts and Project Managers with portfolio processes, standards, reporting requirements, and data entry expectations.
  • Monitor key portfolio activities and follow up on outstanding updates, actions, and deliverables.
  • Assist with portfolio intake administration, project registration, status updates, lifecycle administration, documentation maintenance, templates, and process materials.
  • Coordinate and oversee the intake process for non-project operational work, ensuring requests are routed appropriately, required groups complete their reviews and actions, and items are shepherded through the process to closure.

How we care for you:

  • Financial Rewards: great compensation package, bonus opportunities, matching 401k, and the ability to participate in Employee Stock Purchase Plan (select locations), Flexible Spending and Health Savings Accounts
  • Work/Life Balance: Flexible paid time off, holidays and parental leave program.
