About the Role
MPF Federal is seeking a polished, part-time Executive Administrative Assistant to support the Front Office of a Joint Staff Deputy Directorate. You will support the Deputy Director (DD) and Assistant Deputy Director (ADD), senior leaders who depend on organized calendars, well-prepared briefings, and secure handling of sensitive information.
This is an ideal role for an experienced executive assistant, military retiree, or cleared professional who wants to keep their skills and clearance active while working a reduced schedule. Your on-site day will be concentrated, high-impact support in secure executive spaces, so you'll need to walk in organized and leave leadership set up for the week ahead.
COMPENSATION: $30-32 Per Hour
What You'll Do
Calendar and Agenda Management
- Maintain, monitor, and synchronize DD and ADD calendars, including briefings, meetings, events, and invitations
- Track Flag Officer/General Officer (FOGO) leadership calendars and appointments
- Prepare hardcopy NIPRNET and SIPRNET schedules for leadership
- Greet and host visitors for office calls scheduled during on-site hours
Meeting and Briefing Support
- Reserve conference rooms and SECRET-level facilities; coordinate invitations, AV/VTC setup, and teleconferences
- Schedule classified meetings and prepare and distribute read-ahead materials, including through JWICS
- Prepare handouts and document meeting minutes
Official Travel
- Coordinate official travel for Front Office leadership
Physical Security
- Serve as custodian for leadership classified containers, tracking and logging all classified holdings
- Ensure full compliance with OPSEC, FOIA, and PII standards
Administrative and Records Management
- Transfer data from Joint Staff repositories to meet data requirements
- Maintain, file, and retrieve hardcopy and electronic documents; manage Deputy Directorate and division portal content and libraries
- Help plan, build, and maintain a file plan compliant with Joint Staff regulations, ensuring control of records across all formats and classification levels
- Manage disposition of permanent and temporary records, including destruction per retention schedules and transfer of long-term records to the National Archives and Records Administration (NARA)
- Develop a comprehensive records management plan for FOGO official records
Work Environment
Part-time position with one required on-site day per week (Tuesdays or Thursdays preferred) in secure government executive spaces. Will also be required to cover for time off for other team members as needed.
Requirements
Required Qualifications
- Availability to work on-site every Tuesday (or Thursday, if agreed)
- Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
- Fast, accurate data entry with exceptional attention to detail
- Demonstrated ability to communicate professionally with executives and senior military leadership
- Strong self-management skills and the ability to prioritize work to fit a condensed on-site schedule
Preferred Qualifications
- Active Secret clearance
- Experience supporting General/Flag Officers or SES leaders in a Joint Staff, Combatant Command, or OSD front office
- Hands-on experience with NIPRNET, SIPRNET, and JWICS
- Classified document control or security container custodian experience
- DoD records management experience (file plans, retention schedules, NARA transfers)
- Defense Travel System (DTS) experience
