The School of Nursing is seeking an Administrative Coordinator on the Fall River campus

About The Opportunity

The Administrative Coordinator will report directly to the School of Nursing Program Director, Fall River, MA site. Duties will include management, support, and independent activities to provide efficient operations of the School of Nursing’s Accelerated Bachelor of Science in Nursing (ABSN) program. The individual will function as a team member in conjunction with faculty, students, administration, and staff. The Administrative Coordinator will oversee the internal operations of this program and will establish and maintain administrative systems to ensure efficient functioning of the program. The incumbent will enable the Program Director to maintain broad oversight of constituent business related to students, faculty, practice partners, and alumni affairs. Additional duties include, but are not limited to, engaging with other units within the college and university to develop and foster effective communication and collaboration to support the management of efficient and student-centered operations. The Administrative Coordinator will work closely with a team to assist in the planning and execution of multiple events. The Administrative Coordinator will process and maintain security of highly confidential materials. The primary objective of this position is to assist the School of Nursing fulfill its mission and achieve its goals.

The primary work location for this position is the Fall River, MA site. This position currently operates under a hybrid model, requiring a combination of on-campus presence 3-4 days per week along with a remote work option. The remote work location must be reviewed and approved. The specific work schedule will be dependent upon the operational needs of the School of Nursing, and the hybrid model is subject to change based on business needs and college and university policies and guidance. The interview process will begin immediately and may be conducted remotely or in person.

Minimum Qualifications

  • Associate's Degree or post High School education with 3-5 years of professional administrative experience required. Bachelor's Degree preferred.
  • Higher education experience a plus and/or experience working in a large organization or company interfacing with many departments.

Technical skills

  • Must be efficient with advanced computer knowledge in using Microsoft Office 365 to include Word and Excel with 2 or more years' experience with additional program and application systems.
  • Must be competent in using office equipment such as copiers, scanners, and fax.

Organization skills

  • Must have excellent organizational skills and be able to prioritize with multiple tasks and can work independently.
  • Due to the varying levels at which this role must operate, self-direction, flexibility, a hands-on approach, project management and the ability to manage several initiatives and tasks simultaneously are critical for success.

Interpersonal skills

  • Should possess excellent communications skills, including verbal and written with editing experience.
  • Must possess exemplary customer service and demonstrate the ability to communicate at all professional levels.

Key Responsibilities & Accountabilities

  • Program Operations (45%): Respond to day-to-day operations by imposing structure and definition to the internal operation of the program. Under the direction of the Program Director, develop and maintain procedures and systems to provide a solid foundation for current and projected operations and new initiatives. Assist the Program Director in attending to faculty and student issues and inquiries. Collate and synthesize data and information to support and enhance efficient operations and report progress towards outcomes. Maintain databases of confidential faculty and student information and act as Program Director’s proxy for online scholarship verifications. Communicate with healthcare facilities and coordinate student hiring programs. Support full-time faculty in the Program. Assist testing proctors with exam testing and act as back-up proctor when needed.
  • Curriculum Coordination (40%): Assist the Program Director with the complex process of course scheduling each semester working closely with SON Administration and Registrar's Office. Responsible for its ongoing accuracy. Assist the Program Director in the coordination of part-time faculty hires and their orientation to the program (non-clinical activities). Coordinate meeting agendas, calendars, schedules, and timely preparation and dissemination of committee reports and minutes. Maintain syllabi information in database.
  • Event Planning (10%): The Administrative Coordinator works closely with a team under the direction of the SON Project Manager and assists in the planning and execution of multiple events pertinent to the School of Nursing, its students, alumni, and stakeholders.
  • Alumni Relations & Special Assignments (5%): The Administrative Coordinator responds to requests for licensing data and information from alumni and maintains a database of graduates and their pertinent information using the NURSYS online system. Ad-hoc assignments and projects as needed.
