Hiring exceptional talent, at the right time and with care, is central to that mission.\nWe’re looking for a Recruiting Coordinator in our Tokyo office to partner closely with Recruiters and Hiring Managers to create a thoughtful, well-run, and genuinely human candidate experience. This role sits at the center of our hiring process in Japan and plays an important role in how candidates experience Notion.\nWhat You’ll Do:\nCreate a candidate experience that reflects Notion\nYou’ll be one of the first and most consistent touchpoints candidates have with Notion. From scheduling interviews to answering questions and resolving issues, you’ll help ensure every interaction feels organized, respectful, and intentional. You’ll collaborate closely with Recruiters and Hiring Managers to continually refine our processes so candidates leave feeling excited about what we’re building, regardless of the outcome.\nCoordinate interviews with care and precision\nYou’ll manage and schedule a high volume of interviews across multiple time zones, primarily supporting Go-To-Market teams, including remote interviews and onsite panels. You’ll balance speed with attention to detail, anticipate needs, and communicate proactively to keep candidates and interviewers aligned. You’ll ensure logistics, materials, and feedback loops are clear and on time, and troubleshoot day-of changes and scheduling conflicts with a calm, solutions-oriented approach, making the process feel smooth and predictable, even as things move quickly.\nBuild strong recruiting foundations\nThis role is designed for someone early in their recruiting career who wants to build durable fundamentals. Over time, you’ll gain exposure to how we plan, execute, and scale hiring at Notion. With support from the team, you could take on light sourcing work, talent branding projects, process improvements, and additional ownership as your skills grow, creating a strong foundation for future growth in recruiting, operations, or people-focused roles.\nWhat You’ll Bring:\nAt least 1-2 years of experience in recruiting coordination or interview scheduling, ideally in a high-volume environment\n\nStrong organizational and prioritization skills, with a proactive, reliable approach and thoughtful attention to detail\n\nA growth mindset, with a willingness to take ownership of mistakes, learn from feedback, and refine your processes to improve accuracy and consistency\n\nA steady, calm approach in fast-moving environments\n\nAbility to navigate ambiguity with optimism\n\nClear, kind, and professional communication skills to represent Notion to a large and diverse group of candidates\n\nFluency in Japanese and business-level English proficiency, with the ability to communicate effectively with candidates and colleagues in both languages\n\nYou don’t need to be an AI expert, but you’re curious and willing to adopt AI tools to work smarter and deliver better results\n\nNice to Haves:\nExperience supporting both technical and non-technical roles, including remote and in-person interview scheduling\n\nExperience with Ashby, Workday, Slack, and Notion\n\nExperience in a high-growth or startup environment\n\nBy clicking “Submit Application”, I understand and agree that Notion and its affiliates and subsidiaries will collect and process my information in accordance with Notion’s Global Recruiting Privacy Policy .\nA Note on AI\nYou don’t need deep AI expertise for every role, but we do expect every Notino to be intellectually curious, drawn to tinkering and discovery, and excited to use AI as a real collaborator in their work.
