This position provides high-level administrative support for the Advising and Access and Accommodations teams while triaging student needs, managing intake processes, and ensuring efficient workflow across both service areas.\nThis role assesses walk-in and virtual inquiries, determines the appropriate next steps, and directs students to the correct advisor or accommodation specialist. The position plays a critical role in maintaining service efficiency and enhancing the student experience.\nEssential Functions and Responsibilities\nThe following duties are primarily performed and are essential for this position. Employees are expected to be able to perform each of these job duties satisfactorily and successfully with or without reasonable accommodation.\nStudent Triage and Front-line Coordination:\nServe as the primary point of contact for the Advising and Transfer Center, processing walk-in, phone, and virtual inquiries.\nAssess student needs and determine appropriate routing (advisor, immediate issue resolution, or appointment scheduling).\nPrioritize urgent student matters and escalate time-sensitive concerns appropriately.\nProvide accurate information regarding advising processes, transfer procedures, and accommodations policies.\nManage daily student traffic flow to maximize staff efficiency and minimize wait times.\nOffer functional support to assist students in self-service activities that include self-enrollment and self-referral to campus resources. \nAdministrative Support:\nCoordinate appointment scheduling and calendar management for advising staff, vetting student appointments as necessary.\nMaintain records, reports, and documentation within institutional systems.\nSupport outreach initiatives, registration campaigns, and student communications.\nPrepare materials for advising workshops, orientations, and events.\nAssist with intake processes for students requesting accommodations, coordinating appointments and gathering appropriate documentation.\nMaintain confidential records in compliance with FERPA, ADA, and institutional policies.\nSupport tracking of accommodation requests and documentation timelines.\nAssist with client reporting to support grant-related activities.\nOperational and Process Support:\nUtilizes AI and emerging technologies, as appropriate, to enhance daily workflow efficiency, improve service delivery, and support accurate and timely completion of responsibilities in alignment with institutional guidelines.\nSupport data tracking related to student volume, service trends, and response times.\nAssist with special projects and cross-functional initiatives within Student Services.\nMaintain shared resources, digital forms, and office communications.\nWhile the position description outlines the essential functions and responsibilities of the position, staff may be called upon to assist with tasks or projects in other areas of Student Services and the College as needed in support of institutional goals and student success.\nWhile the primary work schedule is during standard business hours, occasional evening and/or weekend hours may be required to support student needs, college events, and operational success.\nWork is primarily conducted at the NTC Wausau Campus but occasional travel to regional campuses or Centers of Excellence may be required to meet support students, ensure adequate coverage, and participate in training or other operational activities.\nMinimum Qualifications Required\nIn limited circumstances, NTC may consider a combination of education, training, and experience which provides the necessary knowledge, skills, and abilities to perform the duties of this position.\nEducation: Associate's Degree (or Equivalent)\nTwo years of post-secondary education appropriate to the position responsibilities, or equivalent knowledge and skills gained through occupational experience.\nExperience: 1 Year\nAdditional Experience Information:\nExperience in academic advising, disability services, or student support environments and knowledge of ADA/504 compliance basics preferred.\nKnowledge, Skills and Abilities\nIn order to perform the functions and responsibilities of the position (listed above) the following knowledge, skills, and abilities, including language skills, reasoning and mathematical abilities are essential.\nLanguage Skills:\nAbility to read, write and comprehend simple instructions, emails and memos;
